Job Title: Administrative/Grant Writer

Position Overview
The Grants Specialist (Research Services Coordinator - RSC) serves as the institutional representative for sponsored research proposals and awards. This role manages the full lifecycle of contract and grant administration, including pre-award proposal development, institutional review and submission, post-award financial oversight, compliance monitoring, and award closeout.

Reporting to a Team Manager, the RSC partners with faculty and departmental staff to ensure timely, compliant, and accurate proposal submissions in accordance with sponsor guidelines and institutional policies. The position also provides subject matter expertise in budget development, sponsor requirements interpretation, and regulatory compliance.

Upon successful certification, this role may obtain delegated signature authority and be reclassified to Research Administrator 4.

Key Responsibilities
Pre-Award Administration

  • Lead and coordinate proposal development and submission.
  • Interpret sponsor guidelines and ensure compliance with federal, state, local, and private funding regulations.
  • Develop detailed proposal budgets using Excel.
  • Review applications for institutional compliance and accuracy.
  • Provide strategic guidance to faculty on funding opportunities and submission processe.
Post-Award & Financial Management
  • Oversee award setup, administration, and monitoring.
  • Ensure compliance with terms and conditions of awards.
  • Manage financial reporting and forecasting.
  • Administer subawards and subcontracts.
  • Support award closeout activities.

Portfolio & Compliance Management

  • Analyze research funding trends and sources.
  • Maintain grant and contract records per institutional and sponsor requirements.
  • Manage complex proposals involving multiple investigators and subawards.
  • Guide less experienced staff as needed
Required Qualifications
  • Strong attention to detail and ability to adhere to strict timelines.
  • Proactive communicator who identifies knowledge gaps and seeks clarification early.
  • Ability to manage multiple complex submissions simultaneously.
  • Experience creating detailed budgets in Excel.
  • Strong analytical and compliance-focused mindset.
Preferred Qualifications
  • Prior experience as a Research Administrator.
  • Experience submitting funding applications to federal or nonprofit agencies.
  • Experience managing complex grant proposals (multi-PI, multi-subaward, task-based budgets).
  • CRA or CPRA certification from the Research Administrators Certification Council (RACC)
