The Role

As the Information Management Advisor for our Gifts-In-Kind (GIK) program, you'll be integral to our work in helping vulnerable children achieve a brighter future. You will support our Impact and Evidence (I&E) division by being the subject matter expert on our information management system, TrackVia. You will play a pivotal role in supporting our GIK Operations team by coordinating and reconciling GIK distributions for all our programs and partners using TrackVia. Preparing, tracking, and reconciling distributions and taking the lead on connecting GIK resources acquired by Save the Children, to program and partner needs in the communities where we work. This includes, but is not limited to, using TrackVia to ensure donor requirements are met; documentation is accurate, processing is efficient, and problems are solved effectively from receiving, to shipping and then reporting.

What You'll Be Doing (Essential Duties)

GIK - TrackVia Management (50%)

  • Serve as the Subject Matter Expert (SME) for TrackVia, our GiftsinKind (GIK) Information Management System (IMS).
  • Oversee the receipt, review, and accurate entry of donor shipments into TrackVia.
  • Ensure all donor shipments are properly tracked, managed, and updated within TrackVia.
  • Support our Operations team by creating allocations for Program Implementation (PI) and Head Start (HS), to support accurate distribution and reporting in TrackVia.


GIK Training, Monitoring and Support (20%)

  • Coach and develop all TrackVia users acting as a resource for other team members.
  • Provide rolespecific training for new TrackVia users and offer ongoing support to resolve systemrelated questions or issues.
  • Monitor TrackVia activity through existing reports to ensure processes are completed accurately and within expected timeframes.
  • Assist with preparing for and presenting at quarterly meetings with Program Implementation (PI) and Head Start (HS) teams, providing system updates and guidance.


GIK Logistics Support (20%)

  • Coordinate scheduling and shipping for GIK shipments, ensuring all updates are accurately reflected in TrackVia.
  • Enter shipping pallets and items into GIK database based on details on shipping preparation sheet and pull sheet.
  • Collaborate with carriers and source quotes for best rates based on receiver's needs.
  • Support efficient and timely transportation of donated goods and address all shipping issues promptly with relevant carriers.


General GIK (10%)

  • Maintain and update all GIK Manuals, ensuring revisions are completed and shared appropriately with users.
  • Review, update, or create new valuations for donation items as needed, in line with current policies and procedures.
  • Perform other tasks and support projects as assigned.


Required qualifications for the role



  • Minimum of a bachelor's degree or equivalent experience, plus at least 5 years of relevant experience
  • Experience working with data-driven applications (forms, records, workflows)
  • Strong attention to detail and data accuracy and being able to work independently. receiving minimal guidance
  • Basic understanding of status tracking, approvals, and workflows as well as being comfortable learning and adapting to new internal tools and systems
  • Professional proficiency in MS Office suite especially Microsoft Excel
  • Professional proficiency in spoken and written English


    Preferred qualifications for the role



    • Experience using TrackVia or similar no-code/low-code platforms (e.g., Airtable, Smartsheet, ServiceNow, AppSheet)
    • Experience with API-based integrations and/or Automation platforms (e.g., Workato)
    • Experience creating and maintaining custom views and dashboards as well as troubleshooting common issues (missing data, incorrect statuses, permissions)
    • Experience or knowledge in basic finance procedures would be helpful


    Compensation

    Save the Children is offering the following salary ranges for this position, dependent on candidate location:



    • Geo 1 - NY Metro, DC, and other locations with labor costs significantly above national average: Target Salary for this position is $91,800 - $102,600 base salary.


    • Geo 2 - Locations around the US National Labor Cost Average: Target Salary for this position is $83,725 - $93,575 base salary.
    • Geo 3 - Locations significantly below the US National Labor Cost Average: Target Salary for this position is $74,800 - $83,600 base salary.


    The salary ranges listed above are for US based candidates. For candidates located outside of the US, salary ranges will be based on the salary scales of the local employer of record. Actual base salary may vary based on, but not limited to, relevant experience, base salary of internal peers, business sector, and geographic location (more information on job structure is available here).
