The HR Coordinator plays a key role in supporting our recruiting and onboarding efforts across the organization. This role is ideal for an earlycareer professional who is energized by people, enjoys juggling multiple priorities, and is interested in growing into a recruiter role over time. While the primary focus is Talent Acquisition, this role will also support broader HR coordination and program management activities. You'll work closely with recruiters, hiring managers, interns, and new hires to ensure a smooth, professional, and engaging candidate and employee experience. Responsibilities New Hire Set-up, Onboarding, and Data Entry
- Communicate with new hires regarding the pre-employment process and to confirm first day details, including pre-employment background, drug screening requirements and assessments
- Own onboarding reporting and tracking, launch onboarding workflows and manage through to completion
- Enter new hires into system of record and create new hire employment records
- Manage I9 completion and new hire paperwork; audit documents for completeness and follow up as needed
- Responsible for digitally filing employment records or other documents
- May assist in coordination of immigration process and documentation for foreign workers
- Coordinate new hire badges and swag
Talent Acquisition & Recruiting Support
- Provide daytoday administrative and coordination support to the Talent Acquisition team
- Assist recruiters in scheduling phone, virtual, or in-person interviews with candidates
- Send candidate communications and nextstep updates through the applicant tracking system
- Conduct reference checks
- Follow up with candidates on offer acceptance and next steps
- Coordinate the employment screening process including initiating behavioral assessment reports, background checks, drug screens, and appropriate follow-up
- Reconcile vendor bills to allocate departmental charges
- Serve as a back up to generate offer letters and post jobs as needed
Employer Brand & Communications
- Own and manage HRrelated social media postings (weekly or more)
- Coordinate and send graphics to target groups to encourage sharing
- Own and manage the company's Glassdoor and Indeed presence
- Own communications to interns and hiring managers, run contests, events and campaigns with marketing in alignment with our company brand and overall objectives
Programs. Events, & Operations
- Schedule and coordinate all Summer Intern Program events
- Own communications with interns and hiring managers throughout the program
- Book locations, manage logistics, prepare details such as dietary needs, and handle onsite details for events or onboarding sessions
- Represent the company at career fairs and manage candidate followup
- Set up, support, and break down materials for career fairs
- Support miscellaneous HR coordination needs as they arise
- Answer employee questions on company policies or procedures
- Other duties as assigned
Position Requirements
- Bachelor's degree in human resources or related discipline; recent graduates encouraged to apply
- Strong interest in recruiting and talent acquisition as a career path
- High energy, outgoing, and professional presence
- Detail oriented and accurate
- Comfortable taking ownership and following work through to completion
- Strong organizational skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- Ability to maintain the confidentiality of employee and/or company information
- Ability to manage multiple priorities and juggle projects
- Proficiency with Microsoft Office, comfort learning new systems and tools
- Demonstrated leadership skills in your previous experiences
Preferred
- Internship or part time experience in HR, recruiting, coordination, or program management
- Experience with ATS systems, HRIS platforms (ADP), and social media engagement
Work Environment
- 40-hour+ on-site work week (Hybrid Schedule one training is completed, 3 days in the office and 2 days remote)
- Sitting for extended periods of time
- Dexterity of hands and fingers to operate a computer keyboard, mouse, power tools, and other computer components
