| Primary Purpose of Position |
The
College of Arts & Sciences includes 17 academic departments, two centers, and one residential college. It provides a broad liberal education for all students and offers specialized study in the social sciences, natural and mathematical sciences, and the humanities at both the undergraduate and graduate levels. The College supports excellence in teaching, research, writing, and creative activity among students and faculty.
This Administrative Assistant role supports the Deans and Business Officers of the College of Arts & Sciences. This position requires a working knowledge of University policies and procedures to process budgetary forms for the College and its 17 departments, including prospective faculty travel. The role also assists with
SACS credentialing requirements, serves as a receptionist for the Dean's Office, and provides general information on College policies, procedures, and programs to faculty, staff, and the public. |

| Essential Job Functions |
Responsibilities of the position include but are not limited to the following:
- Keep a thorough knowledge of University policies and procedures needed to process College budgetary forms and approve travel forms for the College and the seventeen departments, including prospective faculty travel.
- Engage in daily public contact by serving as one of the Dean's office receptionists, providing administrative assistance and general information on policies, procedures, and programs to the general public and the College's faculty (590) and EPA/SPA staff (67).
- Maintains and archives personnel records and databases, including personnel files and faculty compliance records.
- Assists with reports and written composition.
- Assists with the SACS credentials/requirements for personnel files; maintains and archives personnel records and databases.
- Processes bulk mailings.
- Responsible for scheduling meetings for special functions.
- Manages, coordinates and schedules meetings and special functions; oversees all College special events in collaboration with staff.
- Assists the Development Officer with scheduling meetings and supports the logistics for the bi-annual meetings.
- Provides support to the Business Officers with contracts, writing memos, proofreading letters, and maintaining faculty files and minutes for the CAS Council meetings.
- Works with the Judaic, Holocaust Program and Appalachian Center Program for program assistance, contract management, travel arrangements, guest speaker coordination, general inquiries, general policy questions, etc.

| Knowledge, Skills, & Abilities Required for this Position |
- The position will perform a variety of administrative duties that will require specialized knowledge in processing and application of information, knowledge of policies and procedures, records management, payroll, reconciling financial data, and communications (verbal and written).
- Ability to maintain databases and assist with SACS credentials/requirements.
- Knowledge of standard office equipment operation.
