Hospital Care Mgmt Job Summary

The Administrative Assistant II (Admin Assist II) is responsible for providing administrative support to the department/team under moderate supervision. The Admin Asst II works with all levels of the organization. Responsibilities include running the office by managing correspondence, coordinating calendars and travel for leaders, creating/maintaining documents and files, entering and interpreting data and creating reports. Suggests changes in order to improve processes.

Essential Functions:
  • Replies to incoming requests and creates and/or coordinates outgoing communications.
    (15%)
  • Schedules meetings, teleconferences and special event activities. (15%)
  • Prepares presentations for leaders on team. Makes suggestions for changes when needed. (15%)
  • Prepares and distributes various documents for the department.
    (15%)
  • Orders and maintains supplies and equipment for the team. Prepares purchase orders and payment requests. (10%)
  • Arranges travel and prepares itinerary. (10%)
  • Creates and maintains department employee files and ensures they are up to date and contain all appropriate documents per policy. (10%)
  • Collects, maintains data and creates reports as needed. May analyze data with assistance. (10%)

Education:
  • High School Diploma or GED Required

Work Experience:
  • 4-6 years of related experience, which includes one year of the same type. Required

Licenses:

    Knowledge, Skills and Abilities:

    • Communicates well both orally and in writing.
    • Ability to effectively perform under tight deadlines
    • Ability to work in a team environment and make improvement suggestions
    • Easily adapt to change
    • Proficiency in Adobe Acrobat, Microsoft Outlook, Word, Excel and PowerPoint required
