As a Project Assistant, you'll provide proactive administrative and coordination support to the Project Management Department. This role helps keep information flowing smoothly across multiple construction projects so Project Managers and Project Teams can focus on execution.

This position is split between project support (75%) and office support (25%), offering variety and visibility across the organization.

Key Responsibilities:




  • Maintain accurate project information in the ERP system



  • Create and maintain submittal logs



  • Prepare, log, and track O&M manuals and warranty documentation



  • Preparing, distributing, and tracking Construction Bulletins, RFQs, change documentation, and follow-up items



  • Issue and track contracts and change orders



  • Request and track required project documentation



  • Support project closeout activities, including distribution and tracking of punch lists



  • Provide administrative support to Project Teams and Field staff, including phone support, correspondence preparation, typing, proofreading, and printing



  • Create and maintain project folders



  • Download, distribute, and manage plans and specifications from file-sharing platforms



  • Support Preconstruction bid days



  • Process incoming and outgoing mail and shipments



  • Maintain relationships with postal and shipping vendors to ensure cost-effective service



  • Maintain conference rooms and shared spaces, ensuring supplies are stocked



  • Manage office supplies and inventory



  • Support printer services and general facilities requests


  • Front desk coverage as needed


Qualifications:




  • Clear, professional communication and strong listening skills



  • Accountability for deadlines, accuracy, and follow-through



  • Ability to work independently while collaborating effectively with a team



  • Proficiency with computers and the Microsoft Office Suite




Education & Experience:




  • High school diploma or equivalent required



  • 2+ years of experience in a busy, professional office environment


  • Experience with CMiC is a plus

  • Prior construction industry experience preferred
