Summary:
The Maintenance Manager is responsible for planning, organizing, coordinating, and directing all functions of the Maintenance department to meet the stated mission, vision, and values of Rogers Behavioral Health. It is expected that the Manager will effectively operate the department, continue the improvement of the department's processes and outcomes, comply with regulatory, hospital and corporate policy and procedures, efficiently manage finances and resources, promote teamwork and customer satisfaction, and integrate the department services into the organization's overall plan for the delivery of care and service. The Maintenance Manager will be familiar with NFPA code as well as Joint Commission, State, and OSHA requirements.
Job Duties & Responsibilities Manage subcontractors.
- Arrange required training and documentation regarding confidentiality and vaccination status for subcontractors.
- Ensure any additional inspections required due to Interim Life Safely Measure are completed.
- Monitor external contractor performance regarding regulations or requirements that relate to their areas or departments.
- Work with subcontractor management to ensure hospital policy is enforced, especially regarding life safety.
- Establish and maintain positive work relations with vendors and other agencies.
Assist the EVS Director with the hospital safety program and serve as safety officer in the Director's absence.
- In conjunction with EVS Director, provide direction and communication to Rogers staff regarding the safety program.
- Perform other related duties as assigned by the EVS Director, VP of Facilities, or C-Suite leaders.
- Monitor the safety and preventive maintenance programs.
- Ensure that new products are not brought on site without Director SDS approval and posting on the Rogers Intranet.
- Assist in conduct in-service training when appropriate for Rogers staff education of safety issues.
- Conduct Fire and Emergency Drills, including evaluation of drill and recommended policy changes.
- Assist in documentation of events that require implementation of the Emergency Operations Plan.
- Inventory 96-hour emergency stores.
Demonstrate an understanding of Joint Commission, NFPA, and other regulatory agency compliance regulations.
- When Director or VP of Facilities is not available, communicate with federal, state, and agency personnel regarding overall Rogers environmental, structural, and life safety compliance.
- Understand and maintain documentation of compliance with federal, state, and other regulatory agencies for Rogers environmental of care, structure, and life safety requirements.
- Participate in in-services/seminars and other meetings to increase involvement and awareness of regulations.
Work with Facilities Leadership to adhere to budgets and maintain a strategic plan for facility maintenance and upgrades.
- Manage labor expenditures with compliance to the FTE budget.
- Monitor monthly budgets and understand variances along with their impact on the overall budget.
- Ensure critical infrastructure is maintained according to manufacturer and regulatory requirements.
- Maintain tracking system of all infrastructure assets in CMMS, including all maintenance and expected life span.
Supervise and coordinate the systems and processes of the Maintenance Department.
- Ensure Computerized Maintenance Management Software (CMMS) is utilized to its fullest extent by tracking work ticket response times and repeat issues.
- Ensure that the workload areas of individual responsibility are distributed fairly between staff members while also ensuring that employees are cross trained to service all areas of the campus.
- Ensure system wide facilities procedures are followed. Identify policy or procedure issues and work with the facilities department to develop options and recommend solutions.
- Oversee waste management programs, including biohazardous waste disposal and recycling.
- Oversee all grounds and garden maintenance, including snow removal.
- Directly responsible for scheduling maintenance of all utilities and life safety systems, including sprinkler systems, fire alarm systems, and emergency generators.
- Train and coach maintenance and housekeeping teams on Infection Control Standards and overall quality goals.
- Demonstrate organizational skills that promote timely response to all inquiries and to project completion.
Manage and oversee the activities of the Maintenance staff.
- Communicate goals for the department that are consistent with the goals and mission of the organization.
- Communicate with affected departments regarding maintenance activities, project status and completion dates.
- Utilize methods of measurable goal achievement by which employees can be evaluated for competence.
- Perform employee evaluations in a timely manner.
- Communicate with employees promptly when incidents arise that may be a detriment to their performance or to the facility in general. Involve the Director of EVS and Human Resources Business partner in any potentially complex employee-related situations.
- Engage in daily huddles led by maintenance coordinator to provide timely communication and problem resolution.
- Promote a team environment through leadership by example.
- Understand and enforce the Human Resources policies and procedures manual in a fair and consistent manner.
- Develop a working schedule that provides consistency in coverage and potential for future recruitment.
- Process time keeping records in a timely and accurate manner.
Effectively hire and train technicians according to accurate and current job descriptions.
- Recommend annual updates to job descriptions.
- Determine training priorities and make recommendations to Director.
- Incorporate job description criteria in the employee performance evaluation tool.
- Complete the necessary recruitment and hiring documents in a timely and accurate manner.
- As required, participate in interviews that are comprehensive, fair, and lead to a timely recruitment decision.
Support the Rogers Improvement System process.
- Gain an understanding of the performance improvement process.
- Apply the performance improvement model to the Maintenance department's functions.
- Educate maintenance staff regarding the Improvement System and encourage involvement.
Promote department goals as well as the mission of Rogers.
- Communicate goals to fellow staff members.

- Assist in educating new staff regarding regulations or requirements of those functions that relate to their areas or departments, as directed.

Additional Job Description: Education/Training Requirements:
- Minimum of seven (7) years of experience in the field and a minimum of three (3) years' experience in healthcare facility maintenance leadership, including grounds, equipment, safety, and supervision of external contractors.
- Technical experience with building systems and building automation systems.
- Knowledge of healthcare agency regulations, such as Joint Commission, NFPA, state, and federal.
Director and above roles (in addition to above):
- Plan effectively for departmental needs by involvement with the department budgeting process.
- Manage capital and other operational expenditures with compliance to the related budget.
- Maintain an understanding of any variance and its impact on the department budget.
- Assist and support the review of staffing models to determine opportunities for increased efficiencies.

- Valid driver license. Must be granted insurable status by the Rogers Memorial Hospital insurance policy.
