Manhattan Strategy Group (MSG) is seeking a Project Coordinator to support a large-scale Office of Head Start (OHS) Monitoring Contract. The Project Coordinator provides operational, administrative, and coordination support to project leadership to ensure timely delivery of monitoring reports, effective management of evaluation and performance data, and completion of required training, credentials, and clearances for staff and consultants accessing federal systems.
This role supports cross-functional monitoring activities and serves as a central coordination point between project leadership, reviewers, and internal operations teams.

Key Responsibilities and Duties:
Project Coordination & Operational Support
- Provide day-to-day project coordination support to the leadership team.
- Support project operations across multiple monitoring tasks to ensure timelines, deliverables, and reporting requirements are met.
- Assist with the development, tracking, and maintenance of project schedules, task trackers, and reporting timelines.
Reporting & Data Management
- Coordinate the collection, organization, and submission of monitoring reports and related deliverables.
- Support management of evaluation, performance, and monitoring data in accordance with contract requirements.
- Assist with quality control checks to ensure reports and data submissions are complete, accurate, and submitted on time.
- Maintain organized electronic file structures and archives in accordance with federal records and contract requirements.
Training, Credentials & Federal Systems Access
- Track and coordinate completion of all required trainings for project staff and consultants, including onboarding, monitoring process training, and required refreshers.
- Coordinate background checks, suitability determinations, and other required clearances for access to federal systems.
- Maintain tracking logs for training completion, system access, and reviewer readiness.
- Support onboarding and offboarding processes related to system access and compliance.
Meetings, Communication & Documentation
- Schedule and coordinate internal team meetings, leadership meetings, and required briefings.
- Prepare agendas, take detailed meeting notes, and distribute action items to project leadership and team members.
- Support communication between project leadership, reviewers, and internal MSG teams to ensure alignment and timely information sharing.
Collaboration & Issue Resolution
- Work collaboratively with project managers, data teams, and operations staff to identify and address scheduling conflicts, data gaps, or timeline risks.
- Support leadership in managing short-notice changes and shifting priorities common in large-scale monitoring operations.
- Perform other project coordination and administrative duties as assigned.
Education and Experience Requirements
- Minimum: Bachelor's degree
- Preferred: Bachelor's degree with advanced coursework or certification in project management, public administration, or a related field
Experience
- Minimum: 3 years of related experience in project coordination, operations support, or administrative management
- Preferred: 5+ years of experience supporting federal contracts or large, multi-component projects
Required Qualifications
- Demonstrated experience supporting project operations, reporting, and coordination for complex initiatives.
- Strong organizational skills and ability to manage multiple tasks, deadlines, and stakeholders simultaneously.
- Experience tracking deliverables, training requirements, and compliance-related documentation.
- Proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms such as Teams and SharePoint.
- Strong written and verbal communication skills, including experience preparing meeting notes and status updates.
- Ability to adapt to changing timelines and priorities in a fast-paced, compliance-driven environment.
Preferred Qualifications:
- Experience supporting federal contracts, monitoring activities, or compliance-driven projects.
- Familiarity with Head Start, Early Head Start, or early childhood programs.
- Experience coordinating staff access to secure or restricted systems.
- Experience supporting evaluation or performance data collection and reporting.
