Salary: $33.02-64.08 Hourly
Aquent has an exciting opportunity for a Project Coordinator in Palo Alto, CA! This is a hybrid position. The expectation is that there are 2 days on-site and 3 days remote. For this reason, we will only consider candidates who currently live or can comfortably commute to our client's office in Palo Alto. In addition, to be considered for this role, you must:
- Be authorized to work in the United States
- Not require sponsorship of any kind for the duration of the assignment
- Be able to work on a W-2 basis. C2C or 1099 is not permitted for this role

Join us and make a tangible difference in a fast-paced and rewarding environment! **What you will do:** * **Project Coordination:** Manage project reporting, ensure optimal utilization of resources, oversee project schedules, coordinate departmental activities, and meticulously document all project phases.
* **Operational Leadership:** Take the lead on individual projects as they emerge, providing strategic direction, presenting outcomes, and facilitating workshops and committee meetings to drive consensus and progress.
* **Administrative Excellence:** Provide expert guidance and support for administrative processes, ensuring smooth workflow and efficient management of documentation.
* **Talent Support:** Offer expertise on policies and procedures to the management team, ensure timely submission of evaluations and personnel-related paperwork, coordinate onboarding for new employees, provide initial departmental orientation, and monitor compliance with internal training requirements.
* **Resource Management:** Oversee the allocation of equipment and supplies, conduct periodic inventory reviews, prepare comprehensive facility reports, and track and present cost management efforts at departmental meetings.
* **Event Management:** Plan, organize, and execute various events, ensuring all logistical aspects are handled efficiently and effectively.
* **Cross-Functional Collaboration:** Coordinate support requests from various departments, facilitate the installation and maintenance of communication systems, and collaborate with representatives to ensure high-quality work is completed promptly. Ensure new hires have all necessary resources available upon arrival.
* **Strategic Contributions:** Participate in assigned projects, completing them within specified timeframes, and perform other related duties as required to support departmental objectives. **Must-Have Qualifications:** * High school diploma or equivalent.
* Excellent organizational and problem-solving skills with the ability to prioritize multiple and diverse tasks effectively.
* Demonstrated ability to manage multiple changing priorities in a fast-paced environment.
* Ability to take direction and work effectively both independently and collaboratively within a team.
* Proven ability to independently seek out and obtain necessary information.
* Demonstrated ability to exercise sound judgment and discretion in handling confidential situations.
* Excellent written and verbal communication skills, capable of communicating clearly and maintaining a professional demeanor with all levels of stakeholders.
* Exhibits a professional approach to work, demonstrating a strong sense of responsibility for assigned duties.
* Proficiency in preparing and managing accurate file systems consistent with standard office practices.
* Ability to utilize critical thinking skills and time management principles to develop effective work plans and achieve goals.
* Demonstrated ability and interest in learning new software programs as required.
* Intermediate level proficiency using computer software systems including Microsoft Office (Word, Excel, PowerPoint), as well as other standard office equipment such as copiers and facsimile machines.
* Adherence to safety policies and procedures, incorporating ergonomic principles into work habits. **Nice-to-Have Qualifications:** * Bachelor's Degree.
* Extensive knowledge and understanding of complex organizational structures. The target hiring compensation range for this role is $33.02 to $64.08 an hour.
