DESCRIPTION

Under general supervision, the Clinical Care Coordinator float provides high-level administrative and clinical support to Oncology Surgeons and Advanced Practice Providers in multiple Surgical Oncology divisions. This role is essential in managing complex scheduling, coordinating multidisciplinary care, and serving as the primary liaison between patients, providers, and clinical teams.

Key Responsibilities

  • Processing external referrals via Biscom fax.

  • Patient Coordination: Register and triage new patient referrals, schedule new patient consultations and return visits, collect outside records, and assist patients with financial arrangements.

  • Surgical Scheduling: Coordinate logistics across multiple departments (OR schedulers, anesthesia, admissions, pre-op clinics) to schedule and coordinate surgical procedures, including co-cases. Communicate surgery details to patients and families, and ensure accurate documentation in UCSD systems.

  • Collaboration & Communication: Serve as a key contact for faculty, clinic staff, administrators, and internal and external resources.

  • Faculty Support: Manage and maintain complex calendars, coordinate travel, and process reimbursements. Prepare and distribute clinic notes, medical records, and correspondence.

  • Tumor Board Management: Organize and facilitate weekly General Tumor Boards, including:

    • Collecting and compiling pathology reports, slides, and imaging from internal and external sources.
    • Preparing case materials for review by Pathology and Radiology.
    • Scheduling meetings, maintaining historical case records, and distributing meeting minutes.
MINIMUM QUALIFICATIONS
  • Three (3) years of related experience.
  • Experience in working in a large, complex healthcare setting.
  • Experience working with Health Insurance companies and Community Medical Groups.
  • Knowledge of scheduling medical appointments, surgical procedures, and authorization processes.
  • Excellent communication skills with the ability to communicate clearly both verbally and in writing.
  • Knowledge in medical and scientific terminology.
  • Demonstrated proficiency in utilizing office software applications (Word, Excel, Teams, Outlook, & PowerPoint) and Electronic Medical Record at an advanced level.
  • Excellent customer service skills, with the ability to interact well with care teams, and all patients and families.
  • Strong organizational skills and ability to prioritize and multitask effectively in a fast-paced environment.
PREFERRED QUALIFICATIONS
  • Prior Oncology experience.

  • Experience with Epic EHR system (including Cadence).

  • Experience in supporting physician faculty travel, reimbursements, and calendar management.

  • Knowledge of various insurance products and third-party payors.

SPECIAL CONDITIONS
  • Must be able to work various hours and locations based on business needs.

Pay Transparency Act

Annual Full Pay Range: $61,429 - $88,030 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $29.42 - $42.16

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
