The Executive Assistant provides support to the Chief People Officer through the execution of highly sensitive responsibilities supporting the leadership of the Market Presidents, Mortgage, Marketing and Human Resources functions of the Bank.
Essential Duties & Responsibilities:
- Manages highly confidential information with sensitivity and discretion.
- Attends various management committee meetings and takes related minutes.
- Plans and coordinates Bank significant events such as town hall meetings, shareholder meetings, and customer-focused business development events involving members of the Executive Leadership Team.
- Maintains the business development, sponsorship and charitable giving budgets, including monitoring and addressing requests submitted through the Bank's website and unbudgeted requests in consultation with leadership.
- Assists with event planning and coordination of business development events, including attending when appropriate.
- Oversees corporate athletic event sponsorships programs including ticket distribution, communications and preparation.
- Maintains and disseminates the NSB calendar of events to ensure awareness of Bank sponsored events and maximize business development opportunities.
- Centrally manages logistical aspects and communication of joint advisory board meetings and events, including maintaining the advisory board directory.
- Assists in maintaining, tracking and distributing branded collateral inventory.
- Orders printed material, including, but not limited to: business cards and stationary.
- Maintains postal permits and deposit accounts with the United States Postal Service.
- Coordinates the logistical aspects of the Leadership Development Clubs.
- Prepares documents and reports for management, audit and regulatory purposes.
- Aides in the preparation of stock certificates and distribution of quarterly shareholder statements.
- Performs general administrative responsibilities, including greeting guests to the corporate floor as needed.
Qualifications (Includes education, certifications, experience, etc.):
- A bachelor's degree in Business
- Three or more years of senior-level administrative experience in a corporate environment.
- Possess a high degree of professionalism and confidentiality.
- Possess strong written and oral communication skills, as well as interpersonal skills.
- Self-directed and able to work with minimal supervision.
- Able to organize and manage multiple tasks, schedules and projects at hand.
- Proficiency with Microsoft Excel, Word, and Power Point.
