Job Summary:
The Operations Manager, Ophthalmology and Diabetes Management is responsible for ensuring the efficient, compliant, and cost-effective operation of the Ophthalmology and Diabetes Management departments, including the delivery of exceptional customer service. The Operations Manager will partner with physicians and senior management to manage day to day operations effectively and efficiently. This position has responsibility for developing and implementing strategies for revenue growth.
Essential Functions & Responsibilities:
- Manages the day to day operations of the Ophthalmology and Diabetes Management departments, ensuring that established policies and procedures are being followed and needs of physicians and patients are being met.
- Collaborates with Physicians and Human Resources in the areas of recruitment, hiring, orientation, discipline, professional development, and evaluation of assigned Associates. Establishes and implements goals for assigned practice and staff.
- Analyzes departments' systems and procedures, recommending and implementing changes, in conjunction with senior management, that enhance quality of patient care, increased operational efficiency, enhance compliance, drive strategies and/or support the delivery of affordable care.
- Develops and implements policies and procedures to address practice needs, ensuring that written policies and procedures exist for all essential aspects of practice's operations.
- Acts as a liaison between assigned practice, external physician groups, payors, hospital departments, departments of the health system and local employers.
- Participates in budget preparation process. Reviews financial statements for assigned areas and prepares reports of significant budget variances, including corrective action plan as required.
- Responsible for monitoring regulatory compliance issues.
- Coordinates purchasing of supplies and equipment, working within established budgetary guidelines and obtaining required approval for expenditures as appropriate.
- Works with leadership across MWHC to meet strategic initiatives.
- Provides input on public relations and marketing efforts for assigned areas.
- Directs departments' initiatives in coding and charge submission.
- Responsible for monitoring revenue cycle functions for assigned departments, to include:
- Oversees and assist with the submitting, analyzing, and processing all the billing for the Eye Care Center for both medical and optical. This includes maintain a working knowledge of and assists in coding and charge submission
- Assist biller in reviewing claims for correctness and completeness.
- Review patient record to determine proper billing for medical code in accordance to HCFA and ICD guidelines.
- Review account credits for accuracy and process refunds that are needed.
- Directs the submission of payroll transactions to payroll to ensure accurate and timely transactional process.
- Interact with key departments such as Cash Management and SBO to retrieve appropriate information and communicate issues. Process daily sales, which include credit card reconciliation, cash deposits, drawer balancing and processing sales report for General accounting.
- Responsible for all aspects of office maintenance and coordination with the landlord. Leads any renovation designs to facilities.
- Facilitates the smooth integration of new physicians into the practice, working with other departments and agencies as required; coordinates activities related to physicianrecruitment and credentialing.
- Investigates and responds to all verbal and written patient complaints.
- Attends meetings and participates in committees as needed. Conducts routine staffmeetings to address operational issues, meets regularly with physicians of assignedpractice(s).
- Prepares reports to accurately reflect operations of assigned practice to the VP.
- Directs retail inventory for Eye Care Center. Collaborates with Corporate Departments toconduct inventory audits and makes adjustments accordingly. Manages and merchandisesstock, product mix, and acquires new products. Partners with vendors to stay current onnew products and to evaluate product mix.
- Performs other duties as assigned.
Qualifications:
- High school diploma or GED required.
- Bachelor's degree preferred.
- Three years of managerial/supervisory experience in a health care setting required.
- Experience communicating and partnering with Medical Staff and Community Providers required.
- Coding experience required.
