Job Description

JOB OBJECTIVE: This internship provides a hands-on opportunity to support the Corporate Hospitality & Meeting Specialist and Sr. Corporate Hospitality Program Manager. The intern will assist in delivering outstanding hospitality experiences across Promega's guest houses and unique meeting/event spaces. In addition to day-to-day support tasks, the intern will apply their academic knowledge to evaluate and suggest improvements to existing processes in hospitality, guest engagement, and event logistics.

This internship also provides an excellent opportunity to shadow hospitality professionals and contribute to a wide range of support activities across Corporate Hospitality, the CuE (Customer Experience) team, and Corporate Affairs. This role is ideal for students studying hospitality management, event planning, business operations, facility management, or related fields.

CORE DUTIES:

1. Operational Support & Shadowing
* Assist in preparing guest houses for incoming visitors, including restocking supplies, coordinating with Facilities and Security, and assembling welcome letters.
* Assist in creating new reporting documents to help management assess usage patterns, operational efficiency, and hospitality outcomes.
* Shadow the Sr. Corporate Hospitality Program Manager to learn:
- Criteria and decision-making processes for assigning guests to corporate housing.
- Use of the corporate housing booking software, including how to input, track, and update guest stays.
- Report generation from the booking software to support operations and management analysis.
* Shadow the Corporate Hospitality & Meeting Specialist to understand end-to-end operations of guest preparation, logistics, and post-visit follow-up.
* Assist Hospitality with problem solving any relevant situations that arise throughout the course of the internship.
* Observe and contribute to quality checks for guest housing and unique spaces.
* Support the CuE team with hospitality-related setup, guest service coordination, and operational needs across campus.

2. Event Space Coordination
* Help schedule and prepare campus event spaces for internal and external meetings.
* Support logistics by managing access programming and cleaning coordination.
* Participate in the tracking and documentation of space usage for monthly reporting.
* Assist the Corporate Affairs team with select internal corporate events, contributing to logistics, hospitality setup, and on-site coordination.

3. Process Improvement & Intern Project
* Offer suggestions on improving hospitality workflows, space readiness checklists, and guest feedback collection.
* Conduct a process review based on shadowing and participation in daily operations.
* Develop a short presentation or summary document highlighting proposed improvements at the end of the internship.

4. Documentation & Digital Support
* Assist in maintaining SOPs and SharePoint documentation for unique spaces.
* Track reservation and usage data to support operational analysis.
* Participate in updates to training documents or signage based on observation and guest feedback.

KEY QUALIFICATIONS:

1. Currently enrolled in a degree program in Hospitality Management, Business Administration, Event Planning, or a related field.

2. Strong communication skills and a service-oriented mindset.

3. Detail-oriented with interest in logistics and operational systems.

4. Comfortable using Microsoft Office tools; familiarity with digital reporting or scheduling systems is a plus.

PREFERRED QUALIFICATIONS:

1. Prior customer service or hospitality experience is helpful but not required.

2. Experience with reporting tools, scheduling platforms, or SharePoint is a plus.

PHYSICAL DEMANDS:

1. Ability to remain stationary for several hours at a time.

2. Ability to move objects up to 20 pounds.

3. Ability to position oneself to access supplies and materials at various heights.

4. Ability to traverse between multiple buildings across campus.

5. Ability to use a computer and Microsoft Office applications.
