Position Summary

The University of New Mexico College of Education and Human Sciences (COEHS) is seeking a passionate and detail-oriented individual to fill the newly created position of Administrative Assistant III (AAIII) within the historic Travelstead Hall. This position provides a variety of administrative services in support of activities within the COEHS Pathways for Academic Support and Success (PASS) Office and the Office of Communications and Marketing (OCM).

The PASS office is comprised of COEHS undergraduate admissions, student success, student recruitment, and student advisement teams. PASS teams are fully integrated and work as a single unit.

Under direct supervision of the PASS Coordinator of Academic Advisement, the AAIII will oversee and manage a variety of complex and interconnected calendars, which often overlap. In addition, this position will support the admissions, advisement, and student success teams in the following ways:

1. Building and maintaining excel spreadsheets that pertain to admissions, advisement, and retention
2. Planning and supporting student success activities and workshops
3. Office supply inventory and ordering
4. Timekeeping (payroll) entry
5. Front desk duties - mail, scheduling student appointments, answering phone calls

The Administrative Assistant III will provide support for the purchasing of supplies and merchandise, renewing subscriptions and professional memberships, organizing and processing travel request activities, and coordinating deliveries and pick-ups in Travelstead Hall. This position is required to complete all necessary steps to successfully become a UNM Purchasing Card holder.

Lastly, this position performs miscellaneous job-related duties as assigned, which are consistent with the mission, strategic priorities, annual programming and schedule of the COEHS.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.


Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.



Preferred Qualifications
  • Knowledge of Microsoft Office Suite (Excel, Word, Teams, etc.)
  • Professional experience with scheduling, managing calendars, communications, and event planning
  • Ability to gather data, compile information, and prepare reports
  • Professional experience in customer service and working with outside vendors
  • Professional experience with fiscal services and budgeting
