Pay Range

USD $69,000.00 - USD $83,800.00 /Yr.


Work Schedule Description (e.g. M-F 8am to 5pm)

Monday - Friday 8am to 5pm + OT as needed


Overview

The Executive Assistant II will be responsible for executive level administrative support to the SVP, Chief Financial Officer and key members of his staff. This role is hybrid, 3 days in office and 2 days remote.

Position requires excellent administrative and organizational skills, handling of the highest level of confidential information, and good public relations. Exercise discretionary powers and independent judgment that directly support management activities daily. Perform tasks under general supervision.

Responsibilities

How do I make an impact on my team?

    Support Sr. Vice President and his team with schedules, telephone, email, filing and document organization, meeting preparation and follow up.
  • Support the budgeting and financial activities of the department.Prepare presentations slides and documents, as well as presentation support materials.
  • Facilitate all activities related to newsletters, including final production and distribution.
  • Prepare and distribute other communications as required.
  • Coordinate travel arrangements such as reserving flights, cars, and hotel or restaurant reservations.Submit and reconcile expense reports and monitor the division's use of the Corporate Credit Card.
  • Organize client, audit, organizational and departmental meetings, and coordinate schedules for department leadership.
  • Reserve and prepare conference rooms for meetings, ensuring required technology is available and operational prior to the start of the meeting.
  • Interacts with consultants, clients, or prospects on behalf of the VP when not availablePrepare communications and tracking of candidate screening and coordinate interview scheduling.
  • Engage in the planning and facilitation of onboarding and training activities of new leadership hires.
  • Assist with division/department social function planning and execution including special events, such as luncheons, audit activities, annual Team Building Event, client meetings.
  • Assist in ensuring division/department wide adherence to policies, procedures, compliance regulations, and other processes.
  • Act as resource for division/department managers and employees within areas of responsibility.

Qualifications

What our team expects from you?

  • Minimum of Associate Degree with at least 5 years of executive assistant experience or a bachelor's degree with two years of executive assistant experience.
  • Experience in a corporate pharmacy, health care, or insurance setting preferred.
  • PowerPoint, Word, Excel software proficiency required.
  • Applicant must be well organized, dedicated to quality, service oriented, and possess the ability to analyze and implement process improvements.
  • Less than 10% domestic travel
  • Able to work at least 3 days in the office at our HQ in Madison, WI.
