Position Summary

Performs a wide variety of clerical support services to assist the efficient operation of the high school main office, while maintaining confidentiality.

Duties and Responsibilities

  • Greets employees, students and visitors to the office while maintaining a positive and professional attitude; uses proper business etiquette to answer telephone calls and emails.
  • Prepares school correspondence including typing, printing, copying and distributing various school letters, flyers, brochures, announcements and newsletters.
  • Monitor and ensure teacher and/or paraprofessional absences are covered with subs.
  • Assist in organizing various high school student tests i.e., Michigan Merit, Advanced Placement, and Testing out.
  • Assist in organizing special student events i.e., graduation, parent conferences, dances, etc.
  • Operate office machines, such as photocopiers, scanners, computers, printers, calculators, facsimile machines, voicemail systems, and telephones.
  • Communicate with customers, employees, students, and other individuals to answer questions, disseminate or explain information and address complaints.

Education:

This position requires high school diploma or equivalent.

Experience:



  • One year of related experience providing clerical support in an office setting required, two years preferred.


Knowledge:



  • Knowledge of basic math, required.
  • Knowledge of principles and processes for providing customer services, required.
  • Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, designing forms, and other office procedures, required.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar, required.



Abilities:



  • Ability to read and interpret district policies, guidelines, and government regulations, required.
  • Ability and willingness to participate in training classes, required.
  • Ability to write routine reports and correspondence, required.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, required.
  • Ability to multi-task, meet deadlines, be organized and work in a fast paced work environment, required.
  • Ability and willingness to work cooperatively with teachers, community, students and staff, required.
  • Ability to read, write, and communicate effectively in English to perform essential job duties, including but not limited to understanding and following safety instructions, responding appropriately to emergency situations, completing documentation, and interacting with English-speaking staff, students, community and supervisors, required.

Testing

Keyboarding, Advanced Word, Advanced Excel, Math, Alpha Filing, Customer Service, Proofreading, Basic PowerSchool and Writing are required. Schooldude is preferred.

While performing the duties of this job, the employee is regularly required to sit, use hands to finger, handle, or feel; talk and hear. The employee is occasionally required to stand; walk; reach with hands and arms; and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 30 pounds of files, computer and audio visual equipment, etc. Specific vision abilities required by this job include close vision, and ability to adjust focus, especially due to concentration on a computer screen and small numbers.

Work Environment

The noise level in the work environment is moderate.
