Objective of Role:

LaSalle Investment Management has an exciting opportunity for an Executive Assistant based out of our Chicago, IL office. This role will provide support to a variety of Portfolio Managers and Investment Vehicles by completing assignments aligned to the department's goals and objectives, providing a wide range of business operations administrative and general support duties of a highly responsible and confidential nature to executive level Portfolio Managers.

The successful candidate will bring structure, attention to detail, quality focus, high energy, and flexibility to a fast-paced, deadline driven organization. This individual will need to work well in a team environment, be able to represent their team with a high degree of professional courtesy and consistently deliver a high-quality work product. Daily responsibilities will include interaction with executive level stakeholders, both internally and externally, both in person and throughout the Americas business. The selected candidate will be expected to independently execute on projects, from conception to completion and handle a wide variety of activities and confidential matters with discretion.

Job responsibilities include, but are not limited to:

  • Draft confidential correspondence, edit documents, take and transcribe minutes of meetings, and perform other administrative and secretarial duties.
  • Create, maintain, and/or update various databases.
  • Serve as a liaison between executives, internal management, employees, clients, and visitors as required.
  • Review incoming correspondence via paper or email, lead initiative to determine appropriate action required.
  • Lead and monitor issues for appropriate follow up.
  • Take independent action on handling requests; determine the appropriate course of action intervene where necessary, and act as a liaison between departments.
  • Plan, coordinate, and support meetings and conferences.
  • Arrange domestic and international travel and handling corresponding expense reporting
  • Assist with processing department financial data as it relates to budgets, accounts payable, and generating various financial queries and reports.
  • Administer the department/business unit record keeping system
  • Update various department/business unit records and publications
  • Ensure that department/business unit files are maintained in accordance with company policies and procedures
  • Review requests for information and determine the appropriateness of release.
  • Committee/Meeting organization; facilitating the technology, coordinating and distributing all materials on a weekly, monthly and quarterly basis for leadership meetings, earnings calls, etc.
  • Manage scheduling and travel plans for the Board of Directors quarterly meeting
  • Work cooperatively with other administrative assistants, in positive partnership to back up each other smoothly
  • Complete additional administrative tasks as needed by the team/business

Minimum Qualifications:

  • Bachelor's degree
  • Minimum of two (2) years supporting an executive at the Managing Director level (or equivalent) or above
  • Strong PC skills (proficient knowledge of MS Outlook, Word, Excel, and PowerPoint)
  • Effective interpersonal skills, including superior oral and written communication skills
  • Advanced ability to organize, prioritize, multi-task, and juggle competing priorities
  • Tact and good judgment in confidential situations and proven experience interacting with senior management

Estimated compensation for this position:

75,000.00 - 85,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
