Entity: Duke University / Duke University Health System Location: Trent Hall, Durham, North Carolina Work Hours: Hybrid (Standard Business Hours) General Summary Proactively identify, negotiate, and manage strategic contract opportunities to leverage the buying power of Duke University and Duke University Health System. This specialized role focuses on the procurement of high-value capital equipment across clinical, research, and operational environments, along with the associated service, maintenance, and lifecycle agreements required to support hospital and clinical operations and construction. Ensure all contracts meet regulatory requirements while aligning with the strategic growth and standardization goals of the health system. Work Performed Strategic Sourcing & Capital Procurement
- Lead the sourcing and negotiation of high-value contracts for capital equipment across a broad range of categories, including specialized clinical technologies, imaging modalities (MRI, CT, PET), lab equipment, and other large-scale institutional assets.
- Own the lifecycle sourcing strategy for capital equipment, including service agreements, uptime expectations, and total cost of ownership optimization.
- Evaluate complex bids and proposals, making data-driven award decisions for major capital investments.
- Participate in strategic planning to forecast market trends in medical construction, capital equipment and technology, supplier models, and service delivery structures.
Contract Management & Compliance
- Review, interpret, and redline complex legal language within vendor contracts to ensure accuracy, completeness, and risk mitigation.
- Manage supplier performance and compliance, resolving disputes to ensure optimal customer satisfaction and project outcomes.
- Analyze supplier change requests and approve revisions to existing capital equipment and service agreements.
- Track global markets and inflation to anticipate shifts in equipment and service costs and their impact on long-term forecasting.
Liaison & Collaboration
- Act as the primary liaison between procurement, clinical, research, and operational stakeholders to ensure the successful selection, contracting, and implementation of capital equipment.
- Collaborate with hospital CFOs, service line leaders, surgical chairs, research teams, and other stakeholders to align procurement strategies with clinical needs and organizational goals.
- Coordinate the integration of new capital equipment suppliers into the Duke procurement system.
Knowledge, Skills, and Abilities Capital Equipment Sourcing Expertise
- Deep understanding of capital equipment sourcing across multiple categories, including clinical, research, and institutional equipment.
- Proven experience managing OEM relationships, service models, and equipment standardization efforts in a complex organization.
Strategic Sourcing & Contract Review
- Extensive prior negotiation experience with a focus on achieving favorable terms and cost savings for large-scale projects.
- Strong ability to read, redline, and interpret complex legal and financial language in procurement contracts.
- Expertise in preparing, issuing, and evaluating comprehensive Requests for Proposal (RFPs).
Systems & Data Analysis
- Advanced proficiency in SAP for data entry, searching, and financial analysis.
- Strong "data digging" skills to analyze spending patterns and identify cost-saving opportunities within construction commodities.
- Expert-level skills in Microsoft Excel and database management for complex reporting.
Interpersonal & Professionalism
- Exceptional communication skills for engaging with high-level stakeholders, including hospital executives and surgeons.
- Strong problem-solving skills to manage supplier issues, project delays, or faulty data.
Minimum Qualifications Education
- Completion of a Bachelor's degree in Business Administration, Accounting, or a business-related field.
Experience
- Requires five years of progressively responsible contract administration or procurement-related experience.
- Note: An equivalent combination of relevant education and/or experience is acceptable.
Preferred Qualifications
- Specialized Experience: Significant experience in supply chain sourcing specifically for medical capital equipment and imaging technology.
- Contractual Mastery: Advanced experience reviewing and managing complex legal contracts within a healthcare or large institutional setting.
- GPO Knowledge: Experience working with Group Purchasing Organizations (GPO) to leverage institutional buying power.
