Job Summary:

We are seeking a detail-oriented and proactive Sr Business Administration & Partnership Coordinator to support both the Vice Chancellor of Innovation & Biotechnology's office and key partnership initiatives. This role blends traditional high-level operational and business administration support (calendar management, travel, meeting preparation, correspondence), with cross-functional project management, helping to drive business development deals & industry partnerships, track deliverables, and ensure seamless coordination across teams and stakeholders.

The Coordinator will be responsible for managing details (administrative and otherwise) for all high-priority initiatives and will serve as a trusted liaison, ensuring deadlines are met, relationships are proactively managed, and the Vice Chancellor's commitments and strategic priorities are advanced. Serving as a central connector, the Coordinator facilitates communication across teams and represents the Vice Chancellor in correspondence and meetings as needed. The role is highly collaborative and requires a blend of organizational rigor, strong communication skills, and the ability to operate with discretion in a complex, matrixed environment.

The Coordinator will exhibit exceptional judgment skills, a high level of discretion, and the ability to proactively anticipate the needs of the Vice Chancellor. This person must thrive in a fast-paced, matrixed environment and be equally comfortable handling detailed administrative work and coordinating high-level partnership initiatives.

Key Responsibilities:

  • Provide comprehensive administrative support including calendar management, scheduling, travel arrangements, meeting preparation, and expense management.

  • Develop, draft, and edit correspondence, presentations, and strategic communications on behalf of the Vice Chancellor.

  • Serve as the primary point of contact for both internal and external inquiries & requests directed to the executive, exercising discretion in triaging, responding, or delegating appropriately.

  • Track and manage deadlines, deliverables, and milestones for business development deals, partnership agreements, and executive-led projects to ensure timely follow-through, escalating risks or delays proactively.

  • Coordinate meeting logistics, agendas, and documentation for strategic initiatives.

  • Plan and host onsite meetings as requested, including coordination and management of all administrative and project coordination details.

  • Partner closely with the Vice Chancellor to monitor, manage, and advance business development deals, partnership opportunities, and high-impact initiatives.

  • Build and maintain strong, professional and trusted relationships with internal leadership, external partners, and key stakeholders.

  • Manage day-to-day office operations, including service delivery, meeting/space scheduling, catering coordination, supply management, and mail handling.

Work Location:

Hybrid - this role is eligible for a hybrid schedule of 4 days per week on campus and as needed for in-person meetings.

Qualifications:

Minimum Qualifications:

  • Bachelor's degree from an accredited institution. Substitution: A combination of education and related technical/military/paraprofessional experience may be substituted for a bachelor's degree on a year for year basis.

  • 2 years of professional experience in an operations, administration, or project coordination role supporting leadership.

Applicants must meet minimum qualifications at the time of hire.

Preferred Qualifications:

  • An advanced degree in business, business administration, healthcare administration, public administration, communications, or a directly related field.

  • Experience in business development, partnerships, or alliance management support.

  • Experience working in healthcare, research, or academic medical centers.

  • Experience providing executive level administrative support.

  • Experience with university systems such as Concur, CU Marketplace and EMS.

  • Project Management or coordination certification.

Competencies:

  • Ability to communicate effectively, both in writing and orally.

  • Ability to establish and maintain effective working relationships with employees at all levels throughout the institution.

  • Outstanding customer service skills.

  • Demonstrated ability to collaborate effectively across teams and functions.

Anticipated Pay Range:

The starting salary range for this position has been established as $60,514 - $77,000

The above salary range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.
