Job Profile Summary
The Supv-Trauma Registry directs and supervises the Trauma Registry Analysts and supports the Manager, Trauma Services and Trauma Medical Director in the oversight of the trauma registry. Ensures National Trauma Data Standard (NTDS), Trauma Quality Improvement Program (TQIP) and American College of Surgeons (ACS), State Department of Public Health standards are followed, and data submissions meet established deadlines. Supports the research, injury prevention, and administrative functions of the trauma program by maintaining the highest quality standards to ensure the integrity and validity of the Trauma Registry.
Job Description

Essential Functions

  • Interviews, hires, trains, and handles disciplinary actions in collaboration with the manager, and day to day supervision of the Trauma Registry Analysts. Responsible for scheduling, time and attendance monitoring, payroll, and assignments for the registry team.

  • Identifies educational needs and provides or seeks educational opportunities for registry team. Provides regular constructive feedback to direct reports to include annual performance evaluations. Maintains current expertise on ICD-10 and AIS coding guidelines.

  • Monitors productivity and performance of the registry team to ensure accurate patient identification for inclusion in the trauma registry, compliance with NTDS and TQIP definition standards, accurate ICD-10 and AIS coding, and chart closure per trauma center standards. Identifies needs and prioritizes work and allocates resources to maximize efficiency and meet dept. needs.

  • Manages trauma registry data integrity to include access, updates and reporting. Serves as the trauma registry expert in collaborating with Prisma Health ITS and trauma registry vendor to ensure updates are timely and database is operational. Manages and facilitates changes to the database to support the functions for the Trauma Program.

  • Validates trauma registry data through running and analyzing logic reports and frequency reports, completing inter-rater reliability audits on registry staff and reviewing registrar inter-rater audits. Expert and in-depth analysis of registry data quality is critical to support the functions of the trauma program, research, injury prevention, and resource allocation. Collaborates with HIM team in validating trauma activation charges.

  • Responsible for registry report writing, EPIC report writing, and submission of report request managed by ITS team to support IRB approved research requests, injury prevention initiatives, administrative reporting and dashboards, etc. Maintains a record of all data requests and appropriate data release approvals (i.e. IRB or administrative).

  • Establishes and maintains policies, procedures, orientation manuals and references to support the functions of the trauma registry, registry team and to ensure compliance with ACS trauma center standards. Maintains current knowledge of trauma registry standards published by ACS for trauma centers.

  • Assumes primary responsibility for ensuring data submission to the State and TQIP as scheduled and mandated by each agency, by deadline. Reviews, analyzes and validates submission files for accuracy.

  • Collaborates with manager in trauma center site review preparation to include statistical reporting and completion of trauma registry related requirements for the PRQ. Writes reports and collaborates with manager to identify charts meeting criteria for review for survey.

  • Performs other duties as assigned.

Supervisory/Management Responsibilities

  • This is a supervisor job which may have direct supervision of team members which may include hire/termination authority, disciplinary authority, and performance management responsibilities.May have budget input or responsibilities. Job is not considered a member of management staff.

Minimum Requirements

  • Education - Associate's degree in HIM or related healthcare field preferred.

  • Experience - Three (3) years of trauma registry experience. Prior leadership experience is preferred.

Required Certifications, Registrations, Licenses

  • One of the following certifications is required: CSTR (Certified Specialist in Trauma Registries) from the American Trauma Society or CAISS (Certified Abbreviated Injury Scale Specialist) from the Assoc. for the Advancement of Automotive Medicine (AAAM).

  • Candidates without CAISS certification are required to obtain within one (1) year of hire.

  • An AHIMA (American Health Information Management Assoc) or AAPC (American Academy of Professional Coders) coding certification preferred.

Knowledge, Skills and Abilities

  • Proficient in Trauma Registry report writing.

  • Expert knowledge in Trauma Registry, NTDS, ICD-10 and AIS coding

  • Knowledge and experience: TQIP, State and ACS Trauma Registry Standards, Data Submission, and Trauma Center Designation / Verification Process preferred.
