Duration through May 31, 2026. On-site four days per week; remote one day per week.

This is a staff position for the Department of Internal Medicine. The incumbent will provide administrative and analytical support to the UCSF Fresno Residency/Fellowship Program in the Department of Internal Medicine.

Under supervision of the Coordinator Supervisor, the Coordinator will provide residency/fellowship coordinator support to the internal medicine residency and fellowship program. This position requires a high level of independent decision-making over matters of a critical and confidential nature, including interactions with the Dean's Offices (Fresno and UCSF), Community Regional Medical Center (CRMC) leadership, and UCSF Fresno Department Program Chairs. The coordinator must be able to triage and prioritize in a fast paced environment, work independently with minimal supervision, remain current in technological applications, be exceedingly well-organized and flexible, and enjoy supporting a large and diverse department. Crucial to this role is the ability to interact with a wide range of audiences with diplomacy, confidentiality, and professionalism.
This position requires the ability to remain proactive, flexible, resourceful and efficient. Superior written and verbal communications skills, strong decision-making ability, experienced and nuanced understanding of university guidelines and processes, attention to detail, and responsiveness with high productivity are also important. The candidate will also perform other related duties as assigned.
Key Responsibilities:

Residency/Fellowship Coordination: Coordinates implementation of the gastroenterology program competencies, performance and program evaluations, milestones, and trainee exams. Fosters an environment of collaboration between various health professions education specialties and programs. Participates in program and / or departmental work groups, teams, task forces and committees to support ongoing program functions. Serves as point person for learners, which may include prospective resident candidates; current residents; and all other stakeholders. Answers questions and disseminates program information. Assists residents with all program-related issues and questions. At the direction of program faculty and leadership, creates program and curricular evaluation documentation, including evaluation tools and strategies / timelines. Generates regular evaluation reports.
Human Resources: Assists Coordinator Supervisor with operational components specific to the employment of learners which may include human resources onboarding; appointment paperwork; credentialing; managing training grants; payroll management (FTE tracking); benefits and leave advising; and Medicare reimbursement reporting.
Residency/Fellowship Documentation: Coordinates program documentation and processing of all required Residency training documents, maintaining complete files for learners. Tracks duty hours, conference attendance, vacations, leaves, evaluations and clinical rotation schedules. Ensures administrative, financial and other program operations are compliant with accreditation standards, regulatory requirements, and UC Policy. Prepares reports and follows up as necessary. Monitors and tracks schedules to ensure each trainee is in compliance with curriculum standards.
Residency/Fellowship Recruitment: Serves as point person for prospective residency program candidates; answers question and disseminates program information. Coordinates with residents their initial and continued medical licensure requirements, certifications and contracts. Coordinates logistics and details for medical education related events, educational conferences, and lectures. Coordinates ongoing program recruiting, application review, interviews and orientation.
Residency Data: Works with the GME office in reporting compliance statistics, meeting deadlines for accreditation documents, and providing monthly monitoring documentation required by the GME office. Maintains program communication resources, which may include maintaining the program website to ensure updated information and program requirements; generating informational brochures in compliance with UCSF brand identity
standards; creating and updating program or course syllabi; assisting with journal submissions; manage program marketing aligned with UCSF brand identity and collateral production; and maintaining email and address lists.

Required Qualifications

Required:

  • Bachelor's degree in related area and / or equivalent experience / training
  • 1+ years of experience in an administrative office setting
  • Basic knowledge of relevant policies and regulatory requirements
  • Basic knowledge of health professions education industry
  • Basic knowledge of administrative analysis and operations research
  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner
  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners
  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision
  • Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues
  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems
