State Department Federal Credit Union is seeking aCheck and Records Processor to support our operations team. This position is responsible for performing check processing, records management, and payment processing functions with accuracy and attention to detail. The role handles all aspects of processing in-clearing (member) checks, outgoing (deposited) checks, and check returns. The specialist is expected to post all check deposits and payments received via mail to members' accounts, balancing their work daily to the core totals.

In addition, this position receives check image files from, and sends check image files to, the Federal Reserve Bank (FRB) via secured transport. The specialist monitors, updates, and performs review and maintenance functions on member addresses in the credit union's database. The role also performs signature verification for address change requests received by mail, as well as for account closure requests. The Check Processing & Records Specialist assists other SDFCU staff with locating and retrieving documents as needed.

Essential Duties and Responsibilities:



  • Processes prior day share check rejections; verifies return amount and count in report generated by other processor; uses exceptions processing module to apply return reasons, qualify returns, and create return cash letter.
  • Completes log and submits adjustment requests for on-us return items.
  • Handles large dollar return items in excess of $2,500 under special procedures, completing the FedLine Return Notification form and submitting to ACH Coordinators.
  • Processes inclearing SDFCU share checks: downloads pending cash letter via FedLine; performs reject/re-entry and file balancing functions; prepares any necessary adjustments to the cash letter; formats file for posting to core system.
  • Downloads, receives, and processes checks deposited over the counter and via remote capture applications in the check processing system:

    • Performs distribution for image check files from branches;
    • Scans and processes checks received in back office departments;
    • Analyzes rejected items and performs reject/re-entry and balancing functions; generates FED forward cash letter and transmits check image file via FedLine; formats file to extract on-us items for posting to core system.


  • Runs job to generate credit card payment file and to post corporate capture deposits.
  • Receives deposit return file from FRB via FedLine and prints image replacement documents for chargeback adjustments.
  • Maintains daily check processing logs and transmits copy to Accounting daily.
  • Transfers check image and data files, and check processing reports, from check processing system to archives daily.
  • Boxes checks for storage and prepares items for destruction at least weekly.



Qualifications

Required Skills and Competencies:



  1. Minimum of three years of credit union or banking experience required
  2. High School diploma or equivalent
  3. Minimum of two years check processing experience required, including demonstrated knowledge of Check rules and regulations
  4. National Check Professional (NCP) or other payments certification preferred
  5. Intermediate Microsoft Office experience, emphasis on Microsoft Excel skills
  6. Sound judgment and ability to make knowledgeable and independent decisions
  7. Attention to detail and ensuring accuracy of work and exceptional organizational skills
  8. This position is designated as "Essential," and is activated during inclement weather conditions and holidays when the FRB is open, even if SDFCU is closed.
  9. Ability to train new hires and/or cross train existing team members
  10. Excellent verbal and written communication skills
  11. Demonstrated ability to type about 25 wpm with accuracy
  12. Ability to work with multiple daily deadlines under high pressure
  13. Comprehending and adhering to vendor manuals, and SDFCU policies and procedures
  14. Resolving function-related problems, including check, hardware/software and batch balancing issues
  15. Maintaining confidentiality while working diplomatically with members, and with staff within department and throughout credit union
