What success looks like in this role: Executive Support
- Provide high-level administrative support to multiple senior legal executives.
- Manage complex calendars across multiple time zones, coordinating internal and external meetings, presentations, and stakeholder engagements.
- Arrange global and domestic travel, visas, itineraries, and expense report preparation with precision and cost efficiency.
- Draft, edit, and proofread executive communications, presentations, and legal documents, ensuring accuracy and confidentiality.
Operational & Departmental Coordination
- Serve as a liaison for legal leadership, collaborating with internal teams, external counsel, and business partners worldwide.
- Maintain departmental contact lists and distribution groups.
- Identify process improvements or alternatives, recommend optimal solutions, and support planning through implementation in partnership with Legal Operations.
- Assist with onboarding/offboarding of legal team members and contractors.
Meeting & Event Management
- Assist Legal Operations on department-wide and regional meetings, workshops, and offsites.
- Prepare agendas, collate materials, record meeting minutes, and track follow-up actions.
- Coordinate global participation, balancing time zone challenges.
Document & Information Management
- Develop and edit high quality Power-Point presentations leveraging past material and current brand guidelines.
- Maintain organized filing and ensure compliance with document retention and confidentiality policies.
- Manage procedural documentation, ensuring version control.
- Support execution, tracking, and appropriate storage of various leadership collaborations, materials and other business documents.
Compliance, Reporting & Special Projects
- Support compliance tracking and audits.
- Assist and support as required with document production and reporting.
- Contribute to departmental process improvements and technology rollouts and special projects in partnership with the Leal Operations and other teams.
Cross - Functional Relationships
- Interact regularly with senior managers, and with cross-functional business units to collect information to prepare research, presentations or reports, and to accomplish operational tasks. Develop relationships to achieve outcomes and to improve cross-group relationships.
- Interact with colleagues and clients globally, dealing with multiple time-zones and cultural implications depending on the unique requirements of our business clients.
Other Job Dimensions:
- Overtime work is required with little notice including weekend work. Phone and internet home access is required.
- May be reassigned within the broader team as the business requirements change.
You will be successful in this role if you have: Required:
- Proven experience supporting senior executives, preferably in a legal, compliance, or corporate environment.
- Exceptional organizational skills with the ability to manage competing priorities.
- Proficiency in Microsoft Office 365 Suite (Word, Excel, PowerPoint, Outlook, MS TEAMS, etc.) and document management tools.
- Strong written and verbal communication skills with impeccable attention to detail.
- Ability to handle confidential information with discretion.
Preferred:
- Experience in a multinational or cross-regional corporate setting (EMEA, LATAM, APAC and US exposure).
- Familiarity with legal terminology, workflows, and department operations.
- Project coordination or event planning experience.

- Works in a comfortable office environment.
- In office expectation for 3 days / week minimum, additional in office based on business needs.

- Supports a highly demanding business group, with a high level of pressure to produce output as a result of multiple demands and conflicting priorities.
- Has limited exposure to risk or ill health however, high levels of stress may be experienced due to managing continuous multiple and conflicting priorities. May experience periods of high-level stress.
