The Company serves a diverse commercial and military customer base from its Global EMI Shielding Technology Center located in Tampa, Florida. Every detail of the company's one-of-a-kind manufacturing facility is tailor-engineered to streamline and improve customer service, engineering and manufacturing processes.


Position Summary:



  • The Administrative Assistant is responsible for Front Desk Reception duties, assisting with daily reporting, maintaining Quotes, Orders and RMAs for all Distributors, order review and assisting with overflow work.


Essential Duties and Responsibilities:



  • Answer incoming calls and direct to the correct recipient
  • Check voicemail and direct message to the correct recipient
  • Run Visual Compliance on all visitors prior to entering the facility
  • Ensure all visitors sign in the Visitors Logbook in the lobby
  • Ensure all approved visitors receive a badge and necessary PPE
  • Sort emails in Out of Office, LT Sales and LT Fax Email boxes
  • Send shipping documents for orders shipped the night before
  • Run Morning Meeting report and update White Board
  • Run and save profitability report
  • Maintain all Distribution accounts - enter quotes, order & RMAs
  • Review previous days' orders for errors and confirm on approved orders spreadsheet
  • Request CSR to correct and reload PO or OA if a discrepancy is found

Education and Experience:



  • High school diploma or equivalent
  • Any equivalent combination of education and experience determined to be acceptable by management


Quality Management System Responsibilities:



  • As a member of the Quality Management System, quality procedures, requirements, work instructions, and other required documentation must be followed. Team members are responsible for to be aware of the company's quality policy and quality objectives to support the improvement projects and contribute to the overall mission of the organization.


Physical Demands and Work Environment:



  • Works primarily in a climate-controlled environment with minimal safety/health hazard potential and moderate noise. Workstation includes computer, dual monitors, keyboard, mouse and telephone.


Additional Duties and Responsibilities:



  • Will be required to perform other duties as requested, directed or assigned
