Essential Job Duties |
This position supports a campus-based arts program that offers non-credit, non-degree classes each semester in both traditional and digital media. Courses are open to students, faculty, staff, and the public, and range from beginner to advanced levels. The program also provides services benefiting academic units, administrative offices, student organizations, and external clients.
The department is looking for an energetic, capable, and professional individual who will serve as the office manager and registrar. This individual will fulfill and support the department with
financial, registration and office administrative duties. The selected candidate must have a deep understanding of
financial management, data entry/processing, and contractual activities to manage hundreds of classes/workshops as well as contracted instructors.

Financial Management & Reporting
- Perform deposits, invoice entry, credit card and monthly reconciliations, project review, financial reporting, and budget tracking.
- Reconcile financial projects, purchase cards, marketplace orders, and receipts monthly.
- Analyze financial reports and make recommendations to maintain a balanced budget.
- Adhere to University and State financial guidelines, policies, and procedures.
Technical & Data Management
- Demonstrate significant experience with Microsoft Excel spreadsheets.
- Work with Microsoft Office Suite, Google applications, PeopleSoft, PaymentWorks, and database systems.
- Learn and use University-specific systems such as Reporter and reporting tools.
- Enter class registration information, prepare reports, and store data.
- Maintain contact databases for instructors, students, members, and outreach lists.
- Maintain class attendance files and gather/assess evaluations.
Registration & Program Support
- Monitor registration status, including cancellations, refunds, waitlists, prerequisites, and enrollment levels.
- Provide revenue and attendance data for annual and assessment reports, including charts and graphs.
- Independently resolve problems related to course registration and daily business operations.
Organizational & Process Improvement
- Possess strong organizational skills with the ability to multi-task, plan, and evaluate operations.
- Identify and improve data processing efficiencies and best practices.
- Recommend changes to operations for improved effectiveness.
Customer Service & Interpersonal Skills
- Provide prompt and accurate service for students, instructors, patrons, and staff.
- Work amicably with the general public, instructors, students, and colleagues.
- Demonstrate exceptional interpersonal and communication skills (written and verbal).
- Provide excellent customer service to current and potential customers.
Professionalism & Communication
- Exemplify professional presentation at all times in both dress and demeanor.
- Communicate problems, questions, or concerns directly to supervisor.
- Answer phone lines quickly and in a pleasant manner.
- Handle incoming/outgoing mail and coordinate packages/deliveries as needed.
- Maintain and issue parking passes.
- Adapt to new methods, procedures, and technologies with a future-forward mindset.

Minimum Experience/Education |
- Bachelor's degree; or an equivalent combination of training and experience.; All degrees must be received from appropriately accredited institutions.
