The Shared Services Center at West Virginia University is currently accepting applications for a remote Accounts Receivable Lead.

About the Opportunity
This position performs advanced accounting assignments to support specialized areas of accounting and financial management at the institutional levels in the Shared Services Accounts Receivable area. The recommendations and projects led by this position have a broad impact throughout the entire institution. The incumbent is directly responsible for accounting reporting and/or analysis of cash related issues to Federal and State agencies for external and internal purposes. This includes management of unclaimed property, letter of credit, accounts receivable procedures, invoicing, and oversight of various clearing accounts.

What You'll Do

  • Serves as the Lead for the unclaimed property reporting, letter of credit, and oversight of the MAP AR deposit processes.
  • Responsible for developing and maintaining a thorough understanding of the various modules of the University's financial systems, from a functional perspective, and their integration. This includes but is not limited to the general ledger, accounts receivable, revenue, grants, accounts payable, and payroll processes.
  • Responsible for the University's accounting system Accounts Receivable module. This includes extensive working knowledge of the module and other modules that affect the deposit process, testing, and resolving issues that occur.
  • Responsible for Letter of Credit reporting, reconciliations, and draws which require attention to detail, knowledge of systems, and complex accounting calculations.
  • Responsible for Land Grant reporting, reconciliations, and draws which require attention to detail, knowledge of systems, and complex accounting calculations.
  • Provides management reports as needed. Annually, reviews methodology to ensure compliance with Federal regulations.
  • Responsible for the check processing and deposit steps for Shared Services Accounts Receivable. This includes training, maintaining segregation of duties and internal controls, facilitating timeliness of deposits, researching returned checks, and unassigned payments received.
  • Assigns tasks and monitors the work of other staff as needed.
  • Responsible for the set up and monitoring of institutional Imprest funds. Assists with reporting, review, and reconciliations of these funds as requested by internal and external auditors.
  • Responsible for the oversight and management of unclaimed property reporting for the institution. This position must work with our unclaimed property partner, Kodiak Solutions, for the return of unclaimed property to various vendors, state governments, and institutions. This requires a thorough understanding of the WV State Treasury reporting process and an understanding of various state and federal policies related to unclaimed property.
  • Responsible for developing, maintaining and documenting procedures for above responsibilities. Assists in policy and knowledge article development.
  • Acts as the liaison between WVU and the State Treasurer's Office for all departmental Imprest funds. This includes on-site audits along with managing and tracking current Imprest funds.
  • Liaison between WVU and our banking partners, Huntington National Bank, Fiserv/First Data, Freedom Pay, and PNC, and our regional campus banking partners, City National, Truist, and United.
  • Carries out special projects to achieve institutional missions and unit objectives as time and workload dictates. Participation may include coordinating and leading assigned project teams, innovating new or improved methods of operations, and/or developing policy, procedure, or knowledge article drafts.
  • Acts as a backup to other positions within the unit and may on occasion be required to perform others' duties.
  • Participates in several institutional processes which may require occasional weekend work hours.
  • Maintains customer confidence and protects operations by keeping all information confidential.
  • Supervises, motivates, and evaluates the day to day performance of a team. Ensures adherence to all processes, procedures and regulations.
  • Provides day to day guidance, coaching, and mentoring to staff and serves as the "go to" resource for questions or concerns

Qualifications
  • Bachelor's degree
  • A minimum of three (3) years' experience in the following:
    • Work in accounting, finance, or related field

    • Thorough working knowledge of accounting software and databases

  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.

Preferred Qualifications

  • Work experience in college or university accounting
  • Working knowledge of Oracle

Knowledge, Skills, and Abilities

  • Ability to process and track large volumes of information.
  • High level analytical and critical thinking abilities, organizational and time management skills, and problem-solving skills.
  • Demonstrated comprehensive knowledge of accounting guidelines as established by the Financial Accounting Standards Board and the Governmental Accounting Standards Board for recording financial information and preparing information for financial statements and other financial reports.
  • Demonstrated knowledge of fund accounting procedures, regulations, and concepts.
  • Demonstrated understanding of automated double entry accounting systems and demonstrated ability to manipulate systems to provide both standard information and other information for analytical use.
  • Excellent oral and written communication, listening, and customer service skills necessary to explain and simplify complex policies and guidelines, justify recommendations, and interact effectively with University staff, departments, regulatory agencies, and auditors.
  • Demonstrated skill in the ability to develop written procedures.
  • Demonstrated ability to organize information, perform financial calculations, draw logical conclusions, and prepare reports, analyses, and summaries for upper level administration.
  • Ability to rapidly acquire extensive working knowledge of the University's and State's accounting systems.

  • Demonstrated ability to lead projects and manage cross functionally.
  • Proven analytical ability to interpret, apply, and implement federal, state, university, and professional guidelines to unique University situations.
  • Proven ability to efficiently operate a personal computer with thorough knowledge of word processing, spreadsheet, and database applications software packages, including the proven ability to apply these applications to create other sophisticated applications.
  • Demonstrated ability to maintain institutional attendance and punctuality standards.
  • Demonstrated ability to foster cooperation and harmony among groups and exercise professional judgment in new and/or unusual situations.

  • Ability to work independently and reliably.
