Essential Job Duties
The position helps lead the Department in the creation and implementation of consistent policies and procedures, develops and implements projects to support and improve University Housing operations, and serves as a liaison with University partners that impact the University Housing Department's operations. The position oversees and ensures that the University Housing Service Desks and mail operations across campus are consistent, effective and efficient. Service Desk oversight areas include full time staff supervision, key management, desk staff and operations management, hiring, training, customer service, and packages and mail delivery.

Professional Knowledge (50%)
This position works collaboratively with University Housing colleagues and campus partners to develop, plan and implement University Housing operation initiatives. The position works with and through multiple Desk Supervisors to ensure that all aspects of desk and mail operations are delivered at a high level of customer service. In order to accomplish this, the employee must effectively coordinate operation tasks including:

  • Coordinates University Housing Department Operation projects such as conducting ongoing assessment of systems and practices in order to continually improve both the effectiveness and efficiency of operations.
  • Ensures the successful implementation of new mail centers, and assists in coordinating large scale University Housing operations initiatives such as those associated with resident move-in / move-out and transition periods.
  • Collaborates with University Housing colleagues to create and implement policies and procedures for effective University Housing operations.
  • Ensures that direct reports work as a team and collaborate effectively with all University Housing units such as Recruitment and Selection, Training and Development, Finances, Housing Assignments, and Conferences to ensure teamwork in implementing service desk, key management, and operation related responsibilities.
  • Serves as a liaison and a leader in communicating with campus partners that impact University Housing operations.


Program Supervision (20%)
This position provides direct supervision to University Housing Desk / Mail Operations Desk Supervisors and indirect supervision to Lead Community Assistant and Community Assistant student staff, including:

  • Ensures the Desk Supervisors are hired, trained, supervised, and evaluated.
  • Guides Desk Supervisors in supervising student desk staff.
  • Holds staff accountable to performing job duties and being effective University Housing team members.
  • Trains Desk Supervisors and facilitates Desk Supervisor ongoing professional development.
  • Works collaboratively with the University Housing Training and Development unit and guides Desk Supervisors in developing and facilitating service desk and mail center student staff training and development.
  • Ensures the development and maintenance of Desk Supervisor, and Community Assistant staff policy and procedure manual.
  • Provides leadership in determining and implementing University Housing processes, practices and objectives.
  • Provides direct supervision to the Administrative Specialists (Desk Supervisors).
  • Creates and implements an ongoing professional development plan for the Administrative Specialists (Desk Supervisors).
  • In collaboration with the Administrative Specialists, creates and implements ongoing professional development for the Community Assistants and Mail Clerks.
  • Represents University Housing when working with operations campus partners and makes decisions on behalf of the department.
  • Serves on University, Division, or Department Committees as requested.

Program Administration (20%)
This position coordinates establishing and implementing policies and procedures, maintains accurate information, and compiles reports as needed regarding University Housing operations including: desks including ensuring key control procedures are established and consistently implemented, regular key inventories are completed, and outstanding key issues are reconciled.

  • Maintains StarRez key and fob database updates.
  • Has overarching mail / package operations responsibility for multiple service desk and mail centers and ensures mail/package operations procedures are established, consistently implemented, and mail / package issues are resolved.
  • Serves as Desk Supervisors back-up for processing student staff payroll.
  • Works collaboratively with Recruitment and Selection and Desk Supervisors to ensure the service desks are fully staffed.
  • Maintains the University Housing Operations Processes calendar.
  • Assists with Securities Applications Technology (SAT) communication and use of Clearance Access Tool for student and staff door and electronic key box access needs.
  • Audits University Housing door and electronic key box access needs.
  • Researches and compiles information to utilize in developing University Housing policies and procedures and assists in developing University Housing policies and procedures.
  • Maintains service desk operation records for multiple service dsk pers University's Record Retention Policy and compiles operations related report information and statistics as needed.
  • Assists in developing University Housing Operations budget and provides budget oversight for areas of responsibility.
  • Utilizes software such as Microsoft Word, Excel, and Google Drive, StaRez, When2Work, eRezLife to accomplish tasks.

Critical Thinking (10%)
This position must be able to independently solve problems and resolve issues, assist in addressing student, parent, campus partner questions and concerns, and investigate and solve problems that escalate which may include, but are not limited to:

  • Staff hiring and human resources related issues
  • Key management and control systems
  • Timesheet discrepancies with work schedules
  • Mail and package tracking, logging, distribution, and forwarding
  • Electronic access issues
  • Staff access to technology and software systems

Other Responsibilities
The position may be involved in special projects that are assigned by the Director of Housing Operations. The Assistant Director may serve on area or Departmental committees as appointed. Service on Divisional and University committees is supported with approval of the Director of Housing Operations.
This position is required to handle confidential information appropriately and is bound by the Family Educational Rights and Privacy Act ( FERPA). This position is also a Campus Security Authority ( CAA) under the Clery Act as well as reporting responsibilities under Title IX for any crimes or incidents of sex discrimination which they are made aware. In addition to reporting, training is required for these designations.
On a specific event/condition basis, the University may also take the unusual measure of "calling-in" employees who are not normally designated as "mandatory" and temporarily assign them to the status. If specific adverse weather or other emergency event is critical enough to require it, as determined by the employee's immediate supervisor or next level manager.
This position requires some night and weekend work in order to support the campus community. This position is expected to serve in a Director-Level on call system for the department and may have to respond to campus to provide leadership and support during emergency situations after hours.
Qualifications






Minimum Education and Experience
  • Bachelor's degree and three years of experience in the area of assignment, of which at least one is supervisory or in a lead-worker capacity, or an equivalent contribution of training and experience. All degrees must be received from appropriately accredited institutions.
Other Required Qualifications

  • Must have the ability to communicate successfully in oral and written form and have excellent public contact skills.
  • Must be able to gain knowledge of University, Divisional, Department and office practices and procedures and the ability to understand and implement associated policies, rules, and regulations.
  • Must have the ability to work independently without close supervision.
  • Must be able to discern when it is necessary to collaborate with colleagues while making decisions in order to ensure consistent operations across University Housing.
  • Must be able to effectively collaborate and coordinate work with other professional staff.
  • Must utilize critical thinking skills to research, record, and analyze information to address issues concerns and to develop solutions.
  • Must be able to manage multiple priorities/tasks and use good judgment in effectively and efficiently organizing work to meet established deadlines.
  • Must have the ability to influence the effective work of those they do not supervise.
  • Must have the ability to create policies, procedures, and administrative systems.
  • Must have excellent computer skills with extensive knowledge of several Microsoft Office and Google software programs.

Preferred Qualifications

  • Master's degree in relevant field
  • Experience working within University Housing Operations or Residence Life.
  • Supervision of full time staff experience.
  • Experience and skills in creating policies and procedures, organization, planning and coordinating logistics.
