Job Overview
Serves as a team leader in a supervisorial position and works under limited direction. The Lead coordinates all workflow at the active records center and is responsible for quality control of records center operations. The Lead serves as the primary point of contact for administrative matters and manages the safety and well-being of records center staff. Tracks daily activities and advises management of developments. Most contact is internal to the organization. This position is funded through June 30, 2026, with continuation beyond that date contingent on future funding approval. Work Model: Onsite
Responsibilities
Essential Duties & Job Functions:
- Creates, implements, and maintains records retention policies and schedule.
- Develops comprehensive procedures to document organizational RIM practices.
- Hires and trains new staff. Prepares position descriptions by defining roles and responsibilities for RIM.
- Establishes and trains a records coordinator within every business group across the organization.
- Manages the integration or the transfer of records and information for each subsidiary.
- Manages security and protection of organizational information assets in RIM storage facilities.
- Conducts facilities planning by reviewing short and long-term resources and space requirements.
- Analyzes key performance indicators and prepares budgeting reports for appropriate managers and stakeholders.
- Collaborates with legal counsel and /or risk management to implement the legal hold process and the resumption of records destruction.
- Assists in the development of the disaster preparedness and business continuity program.
- Manages the RIM program to increase awareness of RIM as key business resource.
- Empowers others through leadership and training to maximize the potential of the RIM professional and create a positive work environment.
- Cross-trains records staff on every procedure for daily operations.
- Monitors records staff attendance, performance, and conducts Interpret operating procedures and manuals for help desk and other support functions.
- Enforces work safety procedures and ensures adequate safety equipment is provided.
- Coordinates annual fire suppression inspection.
- Conducts monthly safety and fire inspection to locate potentially hazardous conditions and fire code violations.
- Oversees all building and grounds maintenance.
- Facilitate adaptation during changes in assigned tasks, work environment, or conditions affecting the team.
- Delegates daily workloads for records staff, manage team priorities and deadlines.
- Evaluates end user needs for information and establish proper security clearances.
- Directs restricted document searches for audit and legal discovery.
- May perform additional duties as assigned.
Job Requirements
Mandatory:
- Minimum of two years of college, with course work in records management, active records systems, computer technology, and classification systems, or two to four years' experience in a records management environment.
- Valid state driver's license with an acceptable driving record.
- Must be able to successfully pass a pre-employment background check and pre-hire drug test.
