We have an opportunity at our corporate offices in Chicago for a HR Specialist II on our Human Resources team. This is a hybrid position reporting into our Chicago, IL office, requiring 3 days a week in the office.

This position is responsible for
contributing to the AMA's success by delivering HR services and solutions to
the workforce that will result in enhanced business capability, performance, and employee engagement. Independently
execute tasks required to respond to the needs of the BUs in partnership with
the HRBP team. Support existing protocols, policies, standards, and
procedures. Coordinate with HRBP team
and communicate with broader AMA, outside vendors, and other stakeholders while
meeting stringent deadlines and SLAs.

RESPONSIBILITIES:

HR Specialist

  • Review
    and revise standard operating procedures and service level agreements.
  • Create,
    complete and submit forms and templates associated with requisition requests,
    job descriptions, end of employment, offboarding, timecards, etc.
  • Review/edit,
    draft and proofread offer letters, disciplinary write-ups, memos, employee
    agreements, packets, etc.
  • Monitor
    contracts and expirations i.e., visas, contractor, and internships. Track and
    follow up with various stakeholders.
  • Generate
    HR reports on a recurring basis.
  • Manage Employee
    Appreciation Day (EAD) logistics in partnership with Corporate Services team.
  • Monitor
    and track timely completion of required organizational trainings; manage follow-up
    with non-compliant employees.
  • Manage internal
    HR survey process.
  • Manage the
    relationship with the outplacement vendor.
  • Compile
    paperwork for position eliminations and reductions in force, vet information
    and ensure packages contain accurate documentation.
  • Review
    job descriptions for accuracy; assist managers with requests.
  • Assist
    with HR audit.

Employee Relations

  • Maintain
    log of employee relation issues; assist with witnessing or notetaking as
    needed.
  • Review and proofread employee
    write ups. Collect and distribute paperwork and signatures as needed.
  • Assist HRBPs with handling
    ADA accommodations, short-term requests, and leaves in partnership with the benefits
    team.

Internal Collaboration

  • Collaborate and
    build effective relationships with other members of the HR team to facilitate timely
    delivery of Human Resources services.
  • Collaborate
    with others in HR to address training and development needs, compensation structures,
    pay issues, benefit-related inquiries and issues, system issues, on-boarding
    and recruiting needs.
  • Assist HR
    Director and HRBPs - back-up for coverage, maintain documentation, and other
    projects including tactical duties.

May include other responsibilities as assigned

REQUIREMENTS:

  1. Bachelor's
    degree required.
  2. Minimum 3+ years'
    experience working with HR policies and procedures.
  3. Knowledge of HR
    best practices.
  4. Able to work in
    a fast paced and deadline driven environment; able to work independently and in
    collaboration with team members.
  5. Ability to work
    through situations and difficult conversations with diverse stakeholders.
  6. Ability to
    manage diverse projects simultaneously.
  7. Demonstrated
    ability to resolve conflicts.
  8. Strong
    communication skills. Excellent proofreading skills.
  9. Sound judgment
    and problem-solving skills.
  10. Proven ability
    to maintain confidentiality.

This role is an exempt position, and the salary range for this position is $72,706-$96,390. This is the lowest to highest salary we believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be determined by a variety of factors including but not limited to business consideration, geographical location, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
