International Programs (IP) is seeking a motivated individual to join its Reception Team as a Reception and Administrative Support Associate. The ideal candidate will have excellent communication skills, including active listening skills, effective phone etiquette, and the ability to communicate clearly and professionally. This position demands a strong customer service orientation, the ability to multitask, and effective administrative skills such as data entry, office equipment proficiency, and computer literacy. The Reception Team serves a critical function in the International Programs department as the first point of contact for visitors and callers. Visitors include UI passport office customers, students, faculty, and staff members connected to any number of IP programs and resources.

IP provides guidance and support for international students in the University of Iowa community, as well as scholarships and assistance for UI students who wish to study, intern, or do research abroad. IP also provides funding opportunities and grant and fellowship assistance for UI faculty engaged in international research.

This is a temporary position that does not include health/vision/dental benefits or paid sick/vacation time. This position is for a one-year period, renewable based on funding and performance. Work arrangement options will be discussed during the hiring process and are subject to change for training, coverage needs, peak periods, and performance. Please see below for full list of duties.

In this role, you will:



  • Proactively greet in-person visitors to IP, help resolve inquiries or provide appropriate referrals. Follow procedures following appointment check-ins to alert IP staff when individuals have arrived for appointments.
  • Coordinate appointment scheduling for the UI passport office.
  • Assist faculty and students when picking up important documents in 1111 UCC.
  • Responsible for all incoming inquiries (in-person, phone, and email) from students, staff, faculty, and the general public.
  • Quickly resolve issues, identify the need for escalation, and adapt to changing priorities or unexpected situations.
  • Assist with ad hoc administrative tasks such as the creation/compilation of nametags and other materials for events and data entry.
  • Serve as cashier including the receipt, endorsement, and accurate logging of checks and preparation of deposit for courier pick up.
  • Complete daily mail runs, including delivering mail to and from the UCC mailroom, and sorting and distributing mail to IP staff mailboxes.
  • Receive, sign, check-in, and distribute UPS, FedEx, and University deliveries.


  • Provide back up support for various IP units.
  • Understand FERPA policies and how to protect student privacy.


  • Perform other tasks as needed or assigned.



Required Qualifications:



  • High school diploma or equivalent.
  • Demonstrated experience in a customer service or administrative support role.
  • Strong verbal and written communication skills, including professional phone etiquette and active listening.
  • Proficiency with office software, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, and Teams).
  • Ability to manage multiple tasks simultaneously in a fast-paced environment.
  • Basic data entry skills with attention to detail and accuracy.
  • Experience handling confidential information in accordance with privacy regulations (e.g., FERPA).
  • Ability to work on-site at the International Programs office during scheduled hours.
  • Reliable and punctual attendance.



Preferred Qualifications:



  • Associate's degree or higher in a relevant field (e.g., business administration, communications, international studies).
  • Experience working in a university or educational setting.
  • Familiarity with international student services or study abroad programs.
  • Experience with scheduling systems or appointment coordination tools.
  • Cash handling or cashiering experience, including check logging and deposit preparation.
  • Comfort with handling mail and package deliveries, including sorting and distribution.
  • Ability to adapt quickly to changing priorities and unexpected situations.
  • Cultural sensitivity and awareness, especially when interacting with international students and faculty.
  • Experience supporting events, including preparing nametags and materials.



This role will be on-site in the International Programs office, 1111 University Capitol Centre. This role offers up to 25 hours/week at a pay rate of $20/hour. The work schedule can be one of three options:

* 9:00 a.m. - 2:00 p.m. Monday through Friday

* 9:30 a.m. - 2:30 p.m. Monday through Friday

* 10:00 a.m. - 3:00 p.m. Monday through Friday
