Job Summary The Payroll Coordinator plays a crucial role in ensuring the accurate and timely execution of payroll activities and processes. This includes conducting internal payroll reviews to maintain compliance with financial, operational, and internal control standards while overseeing various aspects of payroll processing and ensuring compliance with state and federal regulations. The role also involves preparing audit reports, collaborating with cross-functional teams, managing garnishments and wage withholding orders, resolving discrepancies, and maintaining a high level of confidentiality. This position is based in Leawood, KS and is not eligible for relocation. What you will be doing:
- Assist with in-house processing of payroll cycles, from collecting weekly timecards to coordinating outbound jobs with external vendors for processing.
- Check and audit payroll to ensure compliance with state and federal regulations.
- Prepare and review audit reports to validate the accuracy of disbursements.
- Respond to external audit requests and prepare necessary reporting for internal audit requirements.
- Collaborate with HR and Operations teams on processing new hires, position changes, terminations, and leaves.
- Manage processes related to garnishments, wage withholding orders, union deductions, and other payroll-related activities.
- Investigate and resolve discrepancies by collecting and analyzing information.
- Provide ad hoc reporting as requested.
- Respond to internal and external customer payroll inquiries.
What we need from you:
- 2+ years of hands-on payroll or equivalent HR experience.
- Knowledge of multi-state payroll regulations and tax policies and/or related multi-state labor regulations.
- Experience processing payroll in a multi-unit environment and/or onboarding associate information.
- Proficient in Microsoft Office suite, with advanced skills in Excel.
- Knowledge of accounting principles.
- Strong oral and written communication skills.
- Proven ability to perform detailed audit work.
- Strong analytical skills and problem-solving ability.
- Ability to work autonomously under time constraints.
- Strong commitment to maintaining a high level of confidentiality and data security
- Ability to maintain composure and use tact in all situations.
What we also value (preferred):
- Bachelor's degree.
- Certified Payroll Professional (CPP) certification.
- Familiarity with Oracle R12 payroll system functionality.
- An interest or history of ongoing education and keeping up to date with changing payroll laws and best practices.
- Project management experience.
