JOB ANNOUNCEMENT

Administrative Supervisor

Office of The City Clerk

Number of Positions: 1

(Additional vacancies possible pending budget approval)

Starting Salary: $57,852

Under general supervision, functions as an office administrator, coordinating and overseeing staff providing office support services in a City department, and performs related duties as required

Positions assigned to this classification are excluded from the bargaining union representation based on supervisory or managerial authority requirements within the Labor Relations Act.

ESSENTIAL DUTIES



  • Supports the daily operations of the CityKey program, including mobile CityKey prints and City Hall printing days for constituents seeking to obtain an identification card
  • Schedules and attends walkthroughs for prospective mobile CityKey print sites to ensure locations meet program requirements
  • Travels to CityKey print locations, transports and unloads equipment to and from mobile printing sites, sets up and prints CityKey cards, and breaks down equipment at the end of the event
  • Supervises delegate agency staff and department staff assigned at mobile events, performing printing, pre-screening, and authenticating functions to ensure optimal performance
  • Functions as an on-site manager for larger CityKey print events
  • Works closely with delegate agencies to ensure needs are met for prints, materials, equipment, manpower, and other potential needs
  • Maintains inventory records for program materials (e.g., CityKey guides, film, ribbons, mobile calendars, card stock, pens, clipboards, printer cleaning kits, etc.)
  • Functions as a first-line resource for constituents, delegate agency, department staff questions, complaints, or concerns that arise at program events
  • Functions as an ambassador promoting the CityKey program to local businesses seeking participation in the program
  • Prepares various reports on work or program operations for use by management

Days: Monday - Friday

Hours: 9:00 am - 5:00 pm

Qualifications

MINIMUM QUALIFICATIONS

Education, Training, and Experience



  • Four (4) years of clerical and administrative work experience, of which one (1) year is in a supervisory role related to the responsibilities of the position OR
  • Associate's Degree OR higher from an accredited college or university, PLUS at least two (2) years of clerical and administrative work experience, of which one (1) year is in a supervisory role related to the responsibilities of the position


Licensure, Certification, or Other Qualifications



  • Must possess a valid State of Illinois driver's license



PHYSICAL REQUIREMENTS

* Must be able to routinely lift, carry, and transport documents and mobile printers weighing up to 30 pounds

EQUIPMENT



  • Standard office equipment (e.g., telephone, printer, photocopier, fax machine, calculator)
  • Computers and peripheral equipment (e.g., personal computer, computer terminals, hand-held computer, scanner)


WORKING CONDITIONS



  • General office environment
  • Exposure to outdoor environment
  • Availability to work evenings and weekends
