Surgery Scheduler - Breast Surgery

The Willamette Valley Cancer Institute and Research Center is looking for a Surgery Scheduler to join our phenomenal team! This role schedules surgeries for patients in an efficient and timely manner as well as answering, screening, and directing all incoming calls to appropriate personnel relaying messages between patients and clinical staff. This role also supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards, and US Oncology's Shared Values.

The general pay scale for this position at WVCI is $18.00-$34.03. The actual hiring rate is dependent on many factors, including but not limited to: prior work experience, education, job/position responsibilities, location, work performance, etc.

Responsibilities

  • Coordinate surgery dates based on surgeon availability, patient needs, and operating room access.
  • Ensure all necessary medical records, imaging (e.g., MRI, CT), and lab results are available and reviewed before scheduling.
  • Manage co-surgeries involving multiple specialists (e.g., breast surgeon and plastic surgeon for reconstruction), which require aligning multiple schedules.
  • Use multiple electronic systems to log and manage surgical schedules.
  • Surgery scheduling and care coordination with local hospitals and surgery centers.
  • Schedules returning appointments in accordance with physician and/or office guidelines. Provides patients with appointment details such as time, location, directions, instruction sheets, and other details.
  • Adheres to confidentiality, state, federal, and HIPPA laws and guidelines with regards to patient's records.
  • Other duties as requested or assigned. May type memos and forms.

Qualifications

  • High school diploma or equivalent required. Proficiency with computer systems and Microsoft (Outlook, Office Word, and Excel) required.
  • Medical office experience preferred.
  • Must be organized and detail oriented.
  • Surgery scheduling experience strongly preferred.
  • Must successfully complete required e-learning courses within 90 days of occupying position.
