The RoleThe Sr. Receptionist is responsible for reception and administration related job duties in the Bedford office. This position is based in Bedford, MA reporting to the Assistant Manager, Facilities. This position is required to be in office 5 days a week.
Your Impact
- Perform routine reception activities; greet all clients and visitors ensuring they are dealt with courteously and swiftly, respond to simple inquiries, and advise appropriate staff of their arrival ensuring all visitors sign the visitor log and issue visitor badges.
- Assist the Facilities Manager with day-to-day office issues, event set ups and support as required, including responding to emergencies and other non-routine office requirements related to safety and security of our employees, guests, and company assets.
- Answer all incoming calls in a polite and timely manner, responds to simple inquiries according to established guidelines, and redirects callers to the appropriate parties in a prompt and courteous manner.
- Issue temporary or visitor security access badges to employees and visitors as per established guidelines.
- Retain orderly and accurate file of all archive visitor logbook and maintain inventory of visitor badges, activating and deactivating as necessary; ensuring all badges are always accounted for.
- Maintain reception manual as a reference tool for temporary receptionists with accurate and up-to-date information including policies, procedures, guidelines, and overall responsibilities for successfully performing the receptionist function.
- Manage shipping functions including all incoming and outgoing FedEx and UPS shipments and distribute as necessary; receiving and maintaining log for all incoming deliveries, validating quantities of items received.
- Issue parking validation tickets to customers and visitors according to established guidelines.
- Maintaining an accurate inventory.
- Maintain employee profiles in Global Address List (GAL) and Bedford phone directory as per established guidelines.
- Monitor the Facilities ICS Helpdesk queue in Oracle, address those assigned to the local facilities team and ensure all tickets are handled and closed meeting target SLA's.
- Assist with onboarding new hires/moves/terminations, taking photo ID and preparing new desk locations with supplies and nameplate.
- Assist visitors and guests with local directions, coordinating cabs and provide information for local amenities, restaurants, transportation, and hotels.
- Ensure reception area & conference rooms are maintained to a high standard.
- Assisting with the planning, administration, and co-ordination of any ad-hoc projects.
- Providing phone coverage for Sr. Receptionist in Houston and Facilities Manager during scheduled time off.
- Assisting with service contractors, as required.
- Ensure stationery levels are always stocked.
