Executive Assistant - Investor Relations

Join Ciena's globally recognized and multi-award winning Investor Relations team, where you'll gain exposure to best-in-class IR practices in a collaborative, dynamic environment. This position offers the flexibility of largely remote work with occasional workdays at headquarters.

Key Responsibilities

  • Leads coordination of investor community interactions, including scheduling, travel, meeting space logistics, catering management, and other logistics for phone calls, investor onsite meetings (internal and investors), conferences, road shows, quarterly earnings calls and the corresponding prep process, webinars and videos, investor days, virtual and hybrid events, and annual shareholder meetings.
  • Assists with the maintenance of the investor relations section of the company's website.
  • Helps manage initiatives including Annual Report coordination by organizing and expediting tasks, planning and coordinating presentations, meetings, travel plans, virtual event logistics, etc., as well as disseminating information quickly and accurately.
  • Responsible for tracking investor requests through general IR email and hotline, exercising independent judgment on routine inquiries and escalating complex matters appropriately.
  • Manages IR department budget tracking and reconciliation, expense reporting for multiple team members, vendor and tool management including PO/AP processing, and related financial administrative responsibilities.
  • Collaborates internally across functions, including legal, marketing, and corporate communications.
  • Provides administrative support to multiple IR team members, coordinating workflows and priorities across the IR leadership team.
  • Future growth potential:
    • Possible opportunity over time to assist with a variety of investor relations activities including tracking and creating peer earnings performance summaries for internal distribution; summaries of sell-side analysts' research for internal distribution; CRM reporting; investor targeting; and C-suite investor briefing materials.
    • May sometimes assist in the creation and updating of investor relations and other materials using Excel, PowerPoint, and Word, including financial reporting compilation, formatting, and version tracking. The IR team utilizes generative AI tools as a preferred approach when helpful to enhance efficiency and content quality.

Relationships

Internal: Interacts with all levels of the organization to ensure proper and timely communication and completion of tasks. Supports VP of IR, Director of IR, and Senior Advisor of Investor Relations in a collaborative team environment.

External: Interacts with external vendors, analysts and shareholders to coordinate requests and to provide information.

Qualifications

Education: Bachelor's degree.

Related Experience: A minimum of five years related office experience required, with experience supporting senior-level management strongly preferred. Works with considerable independence and exercises sound judgment on routine matters.

Knowledge/Skills/Abilities

  • Knowledge of the financial industry preferred but not required.
  • Must have strong knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through related experience.
  • Must have proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Sharepoint, Teams) and comfort using generative AI tools at a professional level. Experience with Oracle or similar financial systems helpful but not required.
  • Ability to quickly learn and adapt to specialized IR technology platforms and evolving digital tools.
  • Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
  • Strong analytical ability required to gather and summarize data for reports, find solutions to various administrative problems, and support decision-making processes.
  • Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines.
  • Efficiency and judgment required to plan, prioritize and organize diversified workload in a fast-paced environment while supporting multiple team members.
  • Proven track record of consistent follow-through and proactive problem-solving required.
  • Must possess a proven track record of ability to work with and demonstrate discretion with highly confidential information.
  • Experience coordinating virtual and hybrid events, including basic technical troubleshooting capabilities, preferred.

    Pay Range:

    The annual pay range for this position in is USD 69,300 to USD 110,700

    Non-Sales employees may be eligible for a discretionary incentive bonus, while Sales employees may be eligible for a sales commission.
