Position Summary
This position is the primary contact for fiscal operations for the Associate Deans' Offices in the College of Agricultural and Environmental Sciences, serving the three mission areas including Academic and Faculty Affairs, Extension, and Research. The incumbent will serve as a liaison to the distributed staff of these offices to facilitate effective workflow and operations. As a function of support for CAES Academic and Faculty Affairs, the position will also oversee the financial processes for awarding scholarships.

The position is located on the UGA Athens Campus and reports to CAES Business Services under the leadership and supervision of the CAES Budget Supervisor. The role will support and receive guidance from the Associate Deans to meet staff and unit needs. The role functions with a high degree of autonomy, utilizing independent judgment and competency for effective unit operations.

Budget Development & Financial Reporting

  • Prepare and administer all unit accounts and budgets. This includes monitoring and reviewing all personnel and operating expenditures for funding, reporting, policy compliance, performing analyses, processing requisitions, and providing projections.
  • Oversee and participate in accounting functions including but not limited to quarterly amendments reviews, processing and approving budget transfers to budget account codes and moving funds among chart strings, GL Journals to correct actuals and process intra-university payments, Budget Journals to budget DSS and Various accounts for revenue, and run queries to provide fund balances to faculty and other personnel.
  • Participate as a critical member of the unit's senior administrative team.
  • Assist Associate Deans in the preparation of the annual budgets; monitor spending rate and adjust fund allocations in consultation with the unit; oversee year-end closing.
  • Oversee daily processing and accounting for revenue and expenditures; audits and reports financial transactions to funding sources; ensures accuracy and availability of funding and compliance with standard accounting and audit procedures.
  • Analyze budget expenditures for compliance with approved budget, research problems, and suggest alternatives to support objectives.
  • Ensure proper internal controls are in place for all applicable administrative functions.
  • Serve as liaison between the Associate Deans and the and the College of Agricultural and Environmental Sciences business staff and other central University units.

  • Support distributed staff in Associate Deans' Offices; work with Associate Deans to collaborate on work and special projects; monitor workload and productivity; promote staff training and development; assist in analyzing and resolving complex issues.
  • Advise departmental staff and faculty on changes in financial policies and procedures.
  • Collaborate with the CAES Human Resources staff to manage human resources-related activities impacting financials and the department's day-to-day operations
  • Coordinate and facilitate feedback from Associate Deans

CAES Scholarship Process Support

  • Process Foundation and Trust check requests for assigned CAES scholarship funds.
  • Serve as Scholarship Liaison in UGA's Scholarship Universe system for all CAES-OAFA level scholarships; work collaboratively with departments on their respective scholarship programs.
  • In partnership with the CAES Office of Development and Alumni Relations, coordinate stewardship relationships and professional development activities between recipients and donors.
  • Maintain budgetary status of Foundation Funds, providing reports to awarding committees to facilitate proper use of funds.
