Essential Duties and Responsibilities

The Operations Administrator supports the departments administratively in relation to employee rosters, time tracking, leave requests, and warnings. They generate reports for Tier board KPIs, attendance, wage and hour compliance, and breaks and lunch tracking. This position assists planning managers and supervisors with creating a balanced workload and staffing schedule.

The Operations Administrator supporting the Kitchen will also be responsible for tracking and communicating department's performance, auditing and archiving Kitchen reports, and typing or updating SOPs and other reports. This role is also responsible for system reports and communication in support of Operations Units Managers. The Operations Administrator supporting Manufacturing is also a back-up to the Frozen Foods Scheduling Coordinator.

Technical

  • Support daily department operations by assisting with scheduling staffing and workload and/or maintaining staff rosters.
  • Reconcile all times daily by comparing Supervisors' records to actual punch times; any discrepancies are brought to the supervisor's attention for correction.
  • Work with the People Department to generate attendance warnings based on Amy's Attendance and Punctuality Policy.
  • Prepare tracking reports for missed punches, absences, and terminations.
  • Prepare tracking reports for wage and hour breaks/lunch compliance.
  • Prepare other performance tracking reports as needed.
  • Investigate and troubleshoot payroll and scheduling discrepancies in UKG and fix as needed.
  • Record and communicate daily call-ins.
  • Keep documents legible, organized, and scan to image library.
  • For Operations Administrator supporting Manufacturing only: Proficient in Quintig for Scheduling duties.
  • For Operations Administrator supporting Manufacturing only: Record leave requests into Quintig for easy tracking of planned and unplanned absences.

Communication

  • Communicate with department managers and supervisors on any trends impacting attendance, or issues with compliance for breaks/lunches.
  • Gathers background information on attendance, warnings, coaching sessions, etc. to be used by Shift Leaders/Supervisors when completing Performance Evaluations.
  • Explain time off request process to employees.
  • Work closely with the People Department on absences, LOA's, and other attendance related issues.
  • For Operations Administrator supporting Manufacturing only: Daily communication with Frozen Foods Scheduling Coordinator on attendance.
  • For Operations Administrator supporting Manufacturing only: Performs Scheduling Coordinator duties in their absence.

Planning and Organizing

  • Manage time off requests through UKG.
  • Timely communication with employees about time off requests.
  • Organize and distribute physical payroll checks to the Department Supervisors for employees.
  • When requested, place orders for operational supplies, follow up in a timely manner with Purchasing, and inform department leadership when supplies arrive.

Leadership

  • Assume ownership of all assigned tasks and request additional help or training when needed.

Ability to work in a team

  • Able to work some overtime if needed.
  • Work closely with the People Department and Plant Management.
  • Perform other administrative functions on an as-needed basis.

Trustworthiness

Qualifications and Skills

Education

  • High school diploma or GED; OR equivalent combination of experience and education.

Experience

  • At least two (2) years of experience in an administrative role.
  • Some exposure to manufacturing processes is preferred.

Language Skills

  • Ability to read, write and speak in Spanish and English.
  • Ability to read and comprehend instructions, written procedures, short correspondences, memos, batch sheets, and other reports.
  • Ability to effectively communicate status of tasks or projects in a coherent manner.
  • Ability to clearly present information in reports, e-mails, and other correspondences.
  • Friendly and professional towards all plant employees and vendors.

Mathematical and Computer Skills

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent.
  • Thorough knowledge of Microsoft Excel, including sorting, subtotals, pivot tables, functions, and macros.
  • Ability to interpret bar, line, and pie graphs.
  • Complete knowledge of Microsoft Word, PowerPoint, and Outlook.
  • Ability to rapidly learn manufacturing processes and scheduling guidelines.
  • For Operations Administrator supporting Manufacturing only: Ability to quickly learn manufacturing aspects of Kronos, including reporting and scheduling functions.

Reasoning Ability

  • Ability to apply common sense to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to see patterns while processing data.
