The Administrative Specialist II role is responsible for coordinating the daily activities of the assigned department and administrative operations while working closely with management staff, preparing correspondence, reports, and other documents; making travel arrangements; managing schedules and calendars, and performs other similar activities.

  • Prepares correspondence, databases, reports, presentations, agendas, minutes, etc.
  • Maintains files, records, and complex calendars.
  • Manages, maintains, and orders office supplies and equipment, including scheduling service appointments.
  • Processes invoices and PC card tracking
  • Collects, maintains, and generates data for budget development and management.
  • Receives, screens, and directs incoming calls, visitors, mail, and email.
  • Serves as resource for employees regarding departmental policies and procedures.
  • Coordinates events for department.
  • Acts as a member of the department project team and may complete department projects while seeking guidance from the team.
  • Assists with project data collection and may provide comprehensive support for department projects such as office moves, meeting space and other logistical adjustments

Required Minimum Knowledge, Skills, and Abilities (KSAs)

  1. Education: High School diploma or GED preferred.
  2. License/Certifications: N/A
  3. Experience: Three years of experience in an administrative support role required.
  4. Additional Skills/Requirements Required: Advanced Microsoft Office skills.
  5. Additional Skills/Requirements Preferred: N/A
