Administrative Support -Purchasing

Job Purpose:

Provides administrative and clerical support specifically relatedfor allpurchasing department activities, managers or staff. Maintains files, logs, records of invoices, purchase orders, packing slipsand other related documentation.Responsible for receiving activities.Assists in expediting ordersand resolving all past due orders and discrepancies. May contact vendors to obtain prices,schedule delivery datesand open order status. May develop and maintain resources for assigned commodity items. Prepares standard requests for quotation. Responsible for RoHS (Restriction of Hazardous Substances) program - maintaining data, receiving certificates. Initiate data collection, reporting, and analysis. Provide purchasing support for other plants as needed.

Nature of Duties/Responsibilities:



  • Manage alladministrative and clerical support specifically related to thepurchasingfunctions.
  • Works on issues of moderate scope where analysis of situations or data requires a review of a variety of factors.
  • Exercises judgment within defined procedures to determine appropriate action.
  • Builds productive internal/external working relationships.
  • Normally receives general instructions on routine work, and detailed instructions on new projects or assignments.
  • Has the authority to make responsible decisions comparable to scope of position.
  • Covers a range of duties, including information management and data entry, documentation control, and reporting.
  • Provide purchasing support to other plants as needed
  • Performs activities in Oracle and other information systems to support Purchasing. Enters manual purchase orders and change orders, and runs purchasing reports for the department.
  • Using Oracle and other systems maintains critical parts inventory.
  • May act as the plant contact for the sale of excess inventory. Reviews and responds to internal and external requests for inventory and assists in identifying opportunities to redeploy excess material.
  • Work closely with maintenance technicians to sourceparts andassist in automating parts inventory management


Education and Experience



  • Minimum4+ years of related experience.
  • Coordinates administrative activities for Purchasing group and liaises with internal clients on support requirements.
  • Supports Buyers to ensure that customer program requirements are met and supplier engagements are executed.
  • Participates in investigation of issues with reporting and purchase orders as they arise and escalate to management as required.
  • Skills in Excel and Oracle are required.
  • Coordinates administrative activities for Purchasing team.
  • Identifies, recommends and escalates opportunities for improvements to supply chain efficiencies.
  • Coordinates data entry, documentation control and reporting requirements for Purchasing group.

Salary Range (annual) : $58,000.00 - $77,000.00

Actual base pay within this range (determined at the offer stage) will be based on a candidate's years of relevant work experience, education, certifications, and skills, and is just one element of our total rewards package. The total rewards package also includes a variety of benefits, including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business and, depending on the role, may include eligibility for restricted stock unit awards and participation in a discretionary bonus program.
