JOB DESCRIPTION

JOB SUMMARY:



Provides clerical support for the production department including basic correspondence, filing, and inputting data in spreadsheets for reports. Writes and sends e-mails and manages training expiration dates. Assists with scheduling and orders supplies and materials as needed. Tracks all personnel and updates white boards to reflect employee status and assignments.

JOB REQUIREMENTS

Essential Functions:




  1. Prepare weekly manning reports.
  2. Manages timecard corrections.
  3. Maintain Production Excel Tracker.
  4. Maintain Production Outlook Calendar.
  5. Maintain Production Excel Attendance Spreadsheet.
  6. Maintains Production Projects Schedule.
  7. Coordinate with Safety Department to track employee training requirements and expirations.
  8. Maintain internal Production employee files and make submittals to Human Resources Department.
  9. Develop and maintains spreadsheets, documents, schedules, reports and databases.
  10. Files or retrieves information as required.
  11. Assists with non-routine projects according to specific assignments.
  12. Must possess strong organizational skills.
  13. Must be detail oriented. Attention to detail required.
  14. Must be trustworthy and responsible as position has access to sensitive and private employee information.
  15. Must be professional.
  16. Performs other duties as assigned.



QUALIFICATIONS:




  1. High school diploma or GED required. Associate's degree preferred.
  2. Two years of experience.
  3. Proficient in MS Office including Word, Excel, Projects and Outlook.
  4. Strong skills in math, accuracy and precision.
  5. Strong organizational skills and willingness to follow recommended procedures.
  6. Strong written, oral communication and people skills.



Physical Requirements:




  1. Ability to lift 20 pounds regularly and up to 50 pounds occasionally.
  2. Ability to sit and/or stand for long periods of time.



This is NOT a physically demanding position and may accommodate most physical disabilities. There may be occasional lifting of office materials or files weighing not more than 20 pounds. Physical dexterity may be required when operating calculators, copiers, computers and/or other typical office equipment. This position may experience eye and muscle strain, backaches, headaches, and repetitive motion injuries from using computers on a daily basis and may have to sit for extended periods while reviewing detailed data.



Known Hazards: Carpal Tunnel Syndrome



Environmental Conditions:



This position works in an office environment with an occasional visit to a work-site. There is generally no exposure to hostile environments or loud noises or hazardous chemicals or smoke or extreme temperatures.



During work-site visits will be required to wear appropriate PPE including, but not limited to:



Hard hat

Ear plugs or attenuator

Safety shoes

Safety Glasses

Dust mask or respirator

Gloves
