The UCSC Department of Anthropology includes the subfields of archaeology, biological anthropology and cultural anthropology. JOB SUMMARY
Applies professional student services concepts. Provides varied student services to students, faculty, and department management. Works on moderately complex issues. Receives assistance on more complex issues.
Under the direction of the Anthropology Department Manager, the Anthropology Undergraduate Program Advisor utilizes their knowledge of complex policies and procedures to provide proactive and developmental academic advising for the Bachelor of Arts in Anthropology, Anthropology minor, and appropriate anthropology courses for the combined major with Earth Sciences. Major functional areas include: academic planning for major/minor requirements (including initial placement and consultation with the faculty Director of Undergraduate Studies on approval of transfer coursework for major requirements), access to classes for major/minor, orientation to major/minor, qualification for / declaration of the major/minor; continuation in the major/minor, satisfaction of major/minor requirements, and enriching their academic experience.
The Undergraduate Program Advisor supervises a team of 3-4 student peer advisors and works in collaboration with the faculty Director of Undergraduate Studies, Department Manager, Lab Manager, and Graduate Program/Internship Coordinator to support our majors.

Budgeted Salary: $31.13 - $35.73 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES
50% - Academic Advising: Provides advice and assistance to students on academic and degree progress and major requirements; assists students in determining a major, alternative academic options, resolve scheduling conflicts, and similar issues.
- Using significant knowledge of complex policies and procedures, counsel proposed and declared anthropology students on all facets of the major -- degree requirements, course selection, sequence and substitutions, declaration of major, readmission, catalog rights, senior comprehensive and disciplinary communication requirements, progress towards graduation and honors and faculty interests -- during individual and group advising sessions. The group sessions include seven summer orientations and recurring quarterly events.
- Present informational workshops on major declaration, senior comprehensive options, graduate school and career options. Ensure faculty participation as needed.
- Independently assists students with enrollment issues, permission codes, etc., in consultation with instructors and personnel in other offices across campus.
- Assess overall student developmental needs by use of Education Advisory Board's (EAB) Student Success Collaborative (SSC) integrated database. Conduct reviews of academic progress of majors.
- Inform and counsel students who are not making satisfactory progress in the major. Summarize and recommend action to Undergraduate Director.
- Help students to incorporate various academic opportunities in their educational experience, such as independent studies, research opportunities, internships, field studies, lab work, studying abroad, UCDC, inter-campus visitor program, and senior theses.
- Perform graduation readiness evaluations and coordinate quarterly honors review on student performance. Complete graduation checklists in the Academic Information System (AIS), and coordinate with other departments, Colleges, and the Office of the Registrar regarding graduation as needed.
- Coordinate quarterly honors review for Senior Comprehensive Requirement. Collaborate with instructors and update database. Responsible for oversight and monitoring of department comprehensive requirement for senior thesis and senior and graduate seminars. This includes monitoring student success or failure and making recommendations to Undergraduate Director, Department Manager, and faculty regarding ongoing concerns and issues relating to the
- Determine content for undergraduate program section of department's website & update the Anthropology Student Handbook, departmental study sheets, yearly course offerings, senior comprehensive options and various information on the department website on a timely basis. Revise any handouts as needed.
- Collaborate with offices across campus to further outreach and retention efforts.
15% - Applies professional student services concepts in providing a variety of student services to the student population served by the organization, and to faculty and management within that organization.
- Provide leadership in areas of undergraduate program to assist Undergraduate Director, Department Chair and faculty.
- Advocate student interests; recommend academic policies and procedures both to Anthropology Faculty, Department Chair, and Division.
- Advise department in areas of enrollment management, especially for large-lecture courses and senior seminars. Establish enrollment projections for new and continuing students. Gate course enrollments as appropriate and collaborate with instructors regarding online course wait-lists. Activate course permission codes and distribute to instructors.
- Coordinate with Laboratory Manager regarding quarterly lab assignments for courses and general facilities usage.
- Liaison to other campus offices such as the Registrar, Colleges and Judicial Affairs.
- Interface with Undergraduate Director to approve or deny petitions on course substitutions, waivers, major/minor declaration petitions, and re-admissions.
- Track and report data using the university's data warehouse (Infoview), student record systems (AIS), curriculum management systems (CCLP & OCA), maintaining FERPA and other confidentiality.
5% - Recruitment and Admissions: Implements outreach programs with specifically targeted institutions; advises prospective applicants on necessary academic preparation; appropriateness of program as it pertains to the prospective applicant's goals; reviews domestic transcripts for degree eligibility; initiates and arranges student recruitment visits
- Determine previous coursework articulations for transfer students. Advise students on course petitions/substitutions for anthropology major requirements and coordinate with Undergraduate Director to review course petitions.
5% - Financial Aid: Participates in the processing, evaluation, and awarding of student fellowships, grants, and other awards; advises students on financial aid options.
- Coordinate process for yearly awards presented for funding undergraduate research: Marx Award, Ryan's Travel Money, Midori Arima Award, Deans' and Chancellor's Awards, and other competitive undergraduate awards. This includes putting out the call for applications, coordinating with Undergraduate Director for review of applications, notifying students, and collaboration with the Financial Aid and Division offices.
5% - Student Conduct: Provides information to students and faculty regarding organization policies and procedures on student conduct.
- Prepare and recommend action on student appeals, academic integrity and student behavior issues, both to Undergraduate Director and/or Department Chair and in observance of the Family Educational Rights & Privacy Act (FERPA).
5% - Student Orientation: Conducts orientations of new students.
- Initiates communication with incoming students.
- Schedules annual incoming student orientation in coordination with the Orientations Office.
- Supports the Director of Undergraduate Studies in updating orientation materials.
5% - Career Counseling: Advises department / college / school students on resume preparation and interviewing.
- Advise students in developing post B.A. objectives relative to graduate school and/or career paths.
5% - Events: Coordinates and implements non-complex student events and assists in the planning and implementation of complex events.
- Coordinate annual fall orientation and spring graduation reception including putting out announcements, making appropriate reservations, and planning the agenda
Assist with alumni outreach events. - Recruit faculty representatives for such events as needed.
5% - Other Duties:
- Assist with maintaining the organization of the faculty mailroom: stock supplies and paper, distribute mail, and update mailboxes as needed.
- Assist with maintaining the organization of the department office and stocking supplies. Order supplies and paper as needed. Assist with maintaining department keys and signing them in and out as appropriate. Assist with managing department copy codes.
- Participate in the selection, training, and supervision of student employees who assist in general office administration.
REQUIRED QUALIFICATIONS
- Demonstrated experience and comprehensive understanding of academic student advising in a higher education setting, or the equivalent experience.
- Demonstrated experience interpreting and implementing policies and procedures.
- Demonstrated skill in successful program development.
- Experience advising and counseling students, customers, or constituents, especially students from educationally disadvantaged backgrounds.
- Demonstrated ability to interact effectively with individuals from diverse backgrounds and as part of the Anthropology staff team.
- Demonstrated ability to diffuse charged situations through respectful, clear, and succinct communication.
- Demonstrated ability to work independently, to set priorities with competing deadlines and to complete work accurately and timely under pressure with frequent interruptions in a rapidly changing organization.
- Demonstrated ability to speak professionally and comfortably before groups and successfully represent the department's programs.
- Demonstrated ability to extract, compile, analyze, and present pertinent data effectively and efficiently.
- Demonstrated ability to maintain strict confidentiality of information being processed or viewed and maintain the standards of the Family Educational Rights and Privacy Acts (FERPA).
- Experience in, or demonstrated ability to learn, website maintenance and new IT applications.
PREFERRED QUALIFICATIONS
- Bachelor's degree in related area and / or equivalent experience / training.
- Knowledge of UC student advising policy and procedures.
- Familiarity with UCSC campus programs, administrative units, and range of student services.
- Experience with UCSC computing applications or equivalent: Google productivity suite, AIS, EAB, OCA, Infoview, CCLP, CruzPay, WCMS, Student ER System
- Experience recruiting, interviewing, selecting, and supervising student employees.
- Experience with event coordination.
SPECIAL CONDITIONS OF EMPLOYMENT
