DUTIES AND RESPONSIBILITIES:

* Provide administrative support by maintaining accurate records of client treatment durations and services at Harbor Light and the Recovery Wellness Center using the Avatar system, in coordination with the San Francisco Department of Public Health (DPH).

* Attend and participate in case conferences, case reviews, staff meetings, and training; represent The Salvation Army Harbor Light Center in the community

* Assist with data entry and documentation of client services and lengths of stay in Avatar for both Harbor Light and Recovery Wellness Center programs, ensuring compliance with SFDPH requirements.

* Support program operations by tracking client treatment timelines in Avatar and communicating relevant data to the SFDPH.

* Maintain and update client treatment records in Avatar, and assist with data coordination and reporting to meet administrative and contractual requirements set by SFDPH.

* Prepare all required reports and supporting documentation for City audits including audits conducted by the San Francisco Department of Public Health (DPH) and other City-wide or departmental reviews

* Maintain compliance with HIPAA, Title 42 of the Federal Code of Regulations, and Title 22 of CA Code of Regulations

* Assist the Program Director and Business Director in preparing reports, and represent the Executive Director in internal and external meetings as assigned.

* Assist the Executive Director in developing strategic partnerships and expansion opportunities for the Harbor Light Program in coordination with the SFDPH and other City agencies, with a focus on enhancing service delivery and integration with public health initiatives.

The Salvation Army Harbor Light Center

* Collaborate with the Divisional Social Services Director and Executive Director to uphold the agency's National Social Services Standards and ensure quality service delivery.

* Perform other related duties as assigned to support the mission and goals of the Harbor Light Program.

EDUCATION AND EXPERIENCE:

* High school diploma or equivalent (required)

* Minimum of 1 year of experience in an administrative or clerical role preferred, ideally in a healthcare or social services setting

* Minimum of 1 year of experience in substance abuse and/or mental health services is preferred, with proven ability to effectively address issues related to substance abuse, mental illness, and other potential barriers to self-sufficiency.

* Proficiency in Microsoft Office Suite (Word, Excel, Outlook)

* Strong verbal and written communication skills; ability to interact professionally with diverse populations.

* Excellent attention to detail and ability to manage multiple tasks simultaneously.

* CA driver's license (required)

* First Aid and CPR certification (within first fourteen days of employment - company provided).

* Tuberculosis clearance (within first seven days of employment - company provided)

* Integrity to handle sensitive information in a confidential manner

* Excellent organizational skills

* Ability to multi-task

* Ability to work with a diverse population

PHYSICAL REQUIREMENTS:

* Ability to lift up to 25 lbs. (Usually file boxes)
