Job Description and Responsibilities



  • Answer all incoming calls and routes to appropriate individuals; field routine questions and explain policies when necessary; take messages when needed.
  • Greet and screen visitors.
  • Be welcoming and helpful to anyone looking for assistance as they enter the building. Ensure a positive impression to all visitors and guests.
  • Ensure all safety protocols including the locking of various doors within the facility.
  • Receive incoming calls in a professional manner, relaying specific information and/or directing calls to the appropriate person.
  • Ensure all visitors sign in the Visitor Registry, wear visitor badges and are in compliance with safety protocols.
  • Ensure the lobby, conference rooms and general administrative area of the building are kept neat and organized.
  • Maintain accurate and timely documentation of check registers.
  • Complete administrative filing.
  • Maintain bulletin boards within the office.
  • Support Managers with writing, formatting and distributing communications to various stakeholders.
  • Be helpful to Direct Support Staff who may ask for assistance.
  • Coordinate ordering of food/materials for various training events offered within the facility, as directed.
  • All other duties as assigned.

Requirements



  • Proficient in using Outlook/MS Suite and standard office equipment.
  • Ability to adapt internal processes to meet the needs of the agency.
  • Excellent verbal and written communication skills, and telephone etiquette.
  • Knowledge of inventory functions.
  • Ability to maintain confidentiality and exercise extreme discretion.
  • Strong organizational skills, and the ability to handle and prioritize multiple tasks in a fast-paced and busy environment with interruptions.
  • Ability to establish and maintain cooperative working relationships with teammates.
  • Knowledge of customer service principles and techniques.
  • Stong attention to detail
  • Flexibility, willingness to assist with tasks that may occasionally fall beyond the scope of your official job duties


Education/Experience:



  • High school Diploma/ GED required
  • Associate degree preferred
  • two (2) years clerical/administrative/bookkeeping experience preferred


Physical Requirements



  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
  • Be able to move/lift at least 40 lbs.
  • Ability to sit, stand, bend, and lift.
  • Ability to verbally communicate thoughts clearly, to document, to remember information, to organize.
