Wimmer Communities is on the lookout for a Project Coordinator- someone who excels in their profession, but is also interested in joining a team that focuses on giving back to our community through charity campaigns (Habitat for Humanity, Community Projects for Seniors, Hunger Task Force, Milwaukee Rescue Mission for example), someone who would like to participate in team outings (Milwaukee Brewer's game, MKE River Cruise, Golf Outing and Pig Roast, and a showstopper holiday party, to name a few), and someone who wants to work at a place that has been voted a Top Workplace by it's team members for the past 10 years. SUMMARY The Project Coordinator's primary duties include supporting the process of bidding, contracting and managing Service Contractors and Capital Improvement Contractors.
Essential Functions This list of duties and responsibilities is not all inclusive and may be expanded to include other duties and responsibilities, as management may deem necessary from time to time.
- Draft scope of work documents, expedite the review process, and make the necessary revisions
- Identifies and procures the necessary documents for development of service contract RFP's and Contracts. such as floor plans, details, specifications, equipment information, etc.

- Qualifies and develop lists of bidders and bid out assigned projects and service contracts.
- Prepares detailed bid comparisons for management review and approval.
- Creates for Management, "Authorization to Proceed" forms then obtain the necessary approvals.
- Updates for the Program of Work as needed.
- Supports management of contractors and vendors to complete service contracts and project work.
- Prepare schedules of all Subcontractor's work as well as time durations.
- Documents subcontractor and vendor performance.
- Supports Management when meeting necessary Subcontractors to discuss cost, quality or time issues.
- Communicate internally and externally as necessary to properly manage contractors from start to finish.
- Maintains, and obtains, when necessary, all project costs.
- Reviews, Tracks and Files Contracts, Purchase Orders, Change Orders, ATP's Inspection Reports and all other documentation necessary for successful contractor and project management.
- Check, approve and process invoices.
- Promptly reviews cost revisions and prepares necessary change orders for approval.
- Support the service contract and capital projects budgeting process from start to finish.
- Supports and leads assigned department improvement initiatives.
- Supports and participates in the commissioning process.
- Perform all other duties and special projects as requested by the Director of Facility Management.
Education and/or Experience
- Minimum of five years project experience, capital projects
- Good computer skills, working knowledge of Microsoft Office applications and use of web-based services
- Ability to read and interpret monthly budgets and Financials
- Experience with Yardi property management software a plus
