Description
Under the direction of the Transplant Financial Manager, performs administrative support to the Transplant Financial Referral Program. Responsibilities include the preparation and processing of patient referrals, pre-register new and return patients into the UCLA Patient Encountering and Registration System. Requires individual to answer the Information and Referral Service lines and direct patients to appropriate program staff. Major duties include the collection of accurate demographic information, soliciting for insurance information and prior authorization requirements and follow up. Provide general information to incoming callers regarding the referral intake process. Process managed care authorizations. Typing, faxing and maintain daily/weekly records regarding internal and incoming transplant program referrals. Delivering CICARE World Class Care expectations in all dealings with patients, referring physicians, medical groups, insurance plans and colleagues. Comply with all hospital and departmental work rules. All other Administrative duties and tasks as assigned. The incumbent is supervised by the Transplant Financial Manager. Independently prioritizes and completes standard functions following established departmental guidelines and University policies. Work is reviewed by the Transplant Financial Manager on a consistent basis and when deviation from standard guidelines occurs. Salary Range: $30.36-$43.49/hourly
Qualifications
Required:
- Previous experience in a health care setting working with health care professionals and patients
- Skill in prioritizing assignments to complete work in a timely and accurate manner when there are changes in assignment, pressures of deadlines, completing requirements and heavy workload
- Ability to work independently
- Ability to communicate with patients, referring physicians, transplant team members, insurance companies case managers, governmental agencies, hospital staff, and other groups in a professional, diplomatic manner over the telephone and in person
- Ability to abstract medical information accurately from patient file
- Demonstrated skill in operating a PC and laser printer to quickly and accurately prepare type and distribute forms, correspondence, and schedules
- Demonstrated skill in routine data entry
- Demonstrated skill in operating copy machine, and other standard office equipment
- Ability to work with and maintain confidential patient information
- Ability to establish and maintain cooperative and collaborative working relationship with administrative, clinical and academic personnel
- Ability to accept ambiguous circumstances and take action where answers to a problem are not readily apparent
- Ability to use diplomacy and respect confidentiality in sensitive situations
- Skill in following through on assignments to completion
- Oral and written communication skills to convey information clearly to patients, faculty and staff
- Ability to deal with patients from diverse backgrounds, referring physicians, clinic staff, insurance companies, the media, government agencies and other groups in a professional, diplomatic and compassionate manner whether by phone or in person
- Typing skill sufficient to input verbal or written data into CRT with accuracy and speed
- Knowledge of third party insurances, government programs and other insurance agencies for purposes of obtaining any necessary authorizations for treatment
- Experience working in a medical setting
- Knowledge and skills to apply appropriate business telephone etiquette on multi-line phones
- Ability to maintain confidentiality on patient and physician issues
- Demonstrate excellent interpersonal skills, customer service skills, time management and organizational skills
Preferred:
- Experience with UCLA EHR (CareConnect)
- English/Spanish bilingual oral communication skills to conduct registration interviews
- Knowledge of medical terminology to communicate effectively with physicians, nurses and other members of the health care community
- Familiarity with Microsoft Word, Excel and Access
- Knowledge of UCLA Medical Center policy and procedures
- Working knowledge of patient-related policies and procedures, as well as a thorough understanding of the University system
- Ability to research medical diagnosis and procedure codes in CPT Code book and ICD-9 Code book
- Recent patient registration and appointment scheduling experience
