The School of Continuing and Professional Studies (SCPS) at the University of Virginia is seeking a Research Administrator for Grants & Contracts. The successful candidate will collaborate with faculty, staff, and stakeholders across the School and University to deliver exceptional customer service to our research community. This position will proactively manage and support pre-award and post-award processes for internal and external sponsored programs across the School. Key Responsibilities:
- In partnership with Principal Investigators, develop, review, and submit sponsored program project requirements including prior approval requests, budget revisions, technical and financial reports, and closeout documents
- Support new project account set up, ensuring compliance with sponsor and university policies while managing financial risk.
- Manage the full lifecycle of research awards, ensuring alignment with project scope, budget, and schedule.
- Serve as a technical resource to faculty and staff to interpret UVA policies and sponsor rules and regulations.
- Collaborate with PIs and central offices to contact sponsors for clarification on policies and terms and conditions as it relates to post-award management of grants and contracts.
- Support development and execution of subawards and assist with creation of subaward monitoring plans.
- Maintain all documentation related to post-award management of grants.
- Provide financial oversight, including spending plans, balance reviews, and financial projections; assist with resolving deficits.
- Review and approve invoices, purchase orders, and other procurement documents; process or review payroll effort, accounting entries, and journal adjustments.
- Interpret and apply federal, state, and University regulations, policies, and procedures; offer guidance on funding agency requirements.
- Monitor award progress and ensure compliance with all applicable guidelines.
- Prepare, develop and monitor annual operating budgets in the assigned areas of responsibility.
- Responsible for monthly budget review, and preparation of revenue and expenditure financial forecasts and analyses for assigned areas.
- Oversee data collection necessary to prepare future budgets.
- Prepare and present reports of findings and recommendations to management.
- Prepare and review documents, reconciliations, reports, and other materials for internal and external stakeholders.
- All work shall be completed in a timely and accurate manner, and in accordance with University and SCPS policies and procedures.
Required Skills and Abilities:
- Resolve issues efficiently while maintaining strong attention to detail.
- Strong written and verbal communication skills.
- Solid technical aptitude and willingness to learn research and financial systems (e.g., Workday Financials, QlikSense, Huron Research Suite).
- Proficiency in Microsoft Excel with a desire to further develop advanced skills.
- Strong understanding of Microsoft Office Suite.
- Other duties as assigned.
Preferred Skills and Abilities:
- Demonstrated ability to clearly communicate with internal and external audiences as it relates to sponsored projects research.
- Demonstrated ability to adapt and work independently with a focus on problem solving and customer service.
- Demonstrated aptitude for process improvement.
- Familiarity with federal funding agencies, private sponsors, and sponsor-specific requirements.
- Certified Research Administrator (CRA) certification.
Minimum Requirements:
Education: Bachelor's degree Experience: At least three years of grant and contract experience. Four additional years of experience may be accepted in lieu of degree. Licensure: Certified Research Administrator (CRA) certification is preferred. About the Position: This position is located in Charlottesville, VA and offers a hybrid work schedule. The incumbent will be required to work on site as needed and requested for meetings and/or other programmatic needs. This is a full-time, exempt level, benefited position with UVa benefits. The anticipated compensation range for this position is $65,000-$80,000, commensurate with experience.
