Event Specialist
General Statement of Job
Under occasional supervision, performs specialized work in coordination and supervision of private and public events. Reports to the Recreation & Leisure Services Coordinator and/or Events & Venues Supervisor.
Specific Duties and Responsibilities
Coordinates the execution of private and public events (ie: weddings, Quinceaneras, meetings, etc.) working directly with client and/or party planner.
Assists with the preparation of rental agreements, event worksheets, reports, invoices and correspondence.
Assists with event set-up and break down.
Assesses pre and post event conditions relative to maintenance or damage.
Assists in supervision of event monitors.
Performs general administrative/office duties as required.
Operates audio visual equipment, HVAC controller and other equipment relative to event and venue operations.
Enforces rules and regulations to ensure safety of participants.
Maintains neatness and cleanliness of event areas.
Works at customer service desk as necessary.
Performs related duties as required.
Minimum Education and Training
Requires two years of secondary education and two years of related experience in event management, hospitality, recreation or related field; or HS diploma or GED equivalent and four years of experience in event management, hospitality, recreation or related field; that provides the required knowledge, skills, and abilities. Must possess or have the ability to obtain first aid and CPR certifications. Must possess and maintain a valid State of Florida Drivers License as required. Must possess or obtain the most current FEMA 100, 200, and 700 Incident Command System certifications within 6 months of appointment to the job.
Schedule:
Position requires at least 40 hours per week and requires working nights/weekends, holidays and possibly on a rotating schedule.
Physical Requirements:
Must be physically able to operate a vehicle and a variety of machines and equipment including a computer, basic office equipment, telephone, sound equipment, etc. Tasks involve the ability to exert moderate, though not constant, physical effort, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and which may involve some lifting, carrying, pushing, and pulling of objects and materials of moderate weight (12-20 pounds) to moderately heavy weight (up to 50 pounds).
Interpersonal Communications:
Requires the ability of speaking and/or signaling people to convey or exchange information. Includes giving assignments and/or directions to subordinates and receiving assignments and/or direction from supervisor.
Language Ability:
Requires ability to read a variety of policy and procedure manuals, technical manuals, budget documents, fitness manuals, etc. Requires the ability to prepare reports, records, correspondence etc., with proper format, punctuation, spelling and grammar, using all parts of speech. Requires the ability to speak with and before others with poise, voice control and confidence.
Physical Communication:
Requires the ability to talk and hear: (talking: expressing or exchanging ideas by means of spoken words; hearing: perceiving nature of sounds by ear).
Knowledge of job:
Has thorough knowledge of the methods, procedures, & policies of the Parks and Recreation Department as they pertain to the performance of duties of the Event Specialist. Is knowledgeable on the laws, ordinances, standards, & regulations pertaining to the specific duties & responsibilities of the exposition. Has knowledge in the areas of public & private event planning, marketing & implementation, etc. Is able to make sound, educated decisions. Has the ability to plan & develop daily, short-term & long-term goals related to City purposes. Has the ability to plan & coordinated the most effective use of personnel, facilities & resources to achieve department goals. Is able to supervise & evaluate the work of others.
Has the ability to offer instruction & advice to subordinates regarding departmental policies, methods, & regulations. Has the ability to offer training & assistance to co-workers & employees of other departments as required. Is able to take the initiative to complete the duties of the position without the need of direct supervision. Has the ability to learn & utilize new skills & information to improve job performance & efficiency. Is able to read & interpret complex materials pertaining to the responsibilities of the job. Is able to assemble & analyze information & make written reports & records in a concise, clear & effective manner.

Coordination of Work:

Estimates expected time of completion of work, eliminates and establishes a personal schedule accordingly. Attends required meetings, planning sessions, and discussions on time. Implements work activity in accordance with priorities and estimated schedules.

Plans, coordinates and uses information effectively to enhance activities and production. Knows and understands expectations regarding such activities and works to ensure such expectations are met. Effectively and efficiently organizes, arranges and allocates manpower, financial and other designed resources to achieve such goals and objectives.
Working Conditions:
Works in office & outdoors in all types of weather. Flexible hours, some weekends.
