Detroit Defense is seeking an Administrative Assistant in our Troy, MI facility to provide essential support for Detroit Defense's solicitation and contract management efforts. The qualified candidate will be experienced in administrative support, preferably within the defense contracting industry. The Administrative Assistant will primarily support the Contracts Management team but may also support other cross functional team members. This role requires a highly organized, adaptable and responsive professional who thrives in a fast-paced, deadline driven environment, ensuring seamless coordination and execution of administrative tasks under tight time constraints.

Essential Duties and Responsibilities:

  • Review, prepare and process, Requests for Information (RFI), Requests for Proposal (RFP), Requests for Quote (RFQ), proposal packages and contract awards for a rapid ordering IDIQ contract
  • Act as a liaison with numerous government agencies, Detroit Defense's partner(s) and subcontractor(s) by responding to emails, processing, managing and tracking RFIs, RFPs and RFQs, including their updates and submission deadlines
  • Maintain records of all email communications, contracts, task orders, modifications and compliance documentation in Teams/Sharepoint
  • Prepare and process project specific correspondence, slide decks, non-disclosure agreements, teaming agreements, monthly and quarterly deliverable submissions, insurance requirements compliance, training requirements compliance, maintenance of training and other project specific logs, and travel request approvals
  • Support the Contract Management team to assist in project set up, inquiries, and close out and processing documents for signature via DocuSign
  • Receive and log Government Furnished Equipment (GFE) and Bailments according to Detroit Defense processes. Coordinate the GFE process with the applicable, Property Administrator, Contract Managers Project Managers, and Customers
  • Adhere to Detroit Defense processes and security protocols
  • As applicable, schedule and attend meetings with customers and project teams
  • As applicable, participate in internal and external audits
  • Maintain company information with Customer and Government accounts and etools
  • Support on-going process improvement of company policies, processes, procedures, and templates
Requirements

Minimum High School diploma and 4 years of experience; Bachelor's degree, BA or BS is preferred

Must be able to obtain a United States Government Secret Clearance. The minimum requirement to obtain this clearance is United States Citizenship. Only applicants meeting this requirement will be considered

A minimum 3 years U.S. Government contracting experience

Detail oriented and able to meet strict deadlines

Excellent organizational skills and multitasking abilities

Fluent with Microsoft Office Suite applications: MS Outlook, MS Word, MS Excel, MS Powerpoint. MS Sharepoint and MS Teams

Ability to work with various e-tools including internal capture management software and market intelligence software programs as well as government e-tools

Familiar with or skilled in DocuSign

Preferred Qualifications and Skills:

Strong communication and presentation skills

Comfortable interfacing with Government representatives and other Customers, Suppliers, Corporate management and all company staff

Self-starter, detail oriented, works well under deadline driven schedules while adhering to company processes and procedures
