Job Summary:

Supervises the daily operations of the team responsible for inventory, supply room administration and maintenance, receiving/storing/distributing supplies and materials, assisting purchasing, and Good Manufacturing Practices (GMP) such as housekeeping and janitorial functions. Ensures that all safety, food safety, and inventory requirements are met for operating supplies and indirect materials, and GMP functions within the office. Responsible for maintaining and monitoring the supply functions and inventory flow for one or more locations. Identifies and implements process optimizations to enhance efficiency and cost savings for the organization.

Key Responsibilities:

  • Supervises the day-to-day activities of the team.

  • Provides guidance, coaching, and support to ensure successful completion of tasks.

  • Supervisor is responsible for hiring, job performance, goal setting, team member development, time keeping, scheduling, etc.

  • Enforces policies, and procedures.

  • Oversees the planning, ordering, receiving, tracking/issuing, and distribution of supplies, ensuring alignment with production schedules and company requirements.

  • Responsible for ensuring accurate system transactions for inventory flow in and out of the warehouse(s) and achieving all assigned metrics.

  • Accountable for signing for receiving supplies that have a significant cost to the organization.

  • Ensures orders are accurate, meet quality standards, and properly documented.

  • Maintains a thorough understanding of warehouse needs to ensure adequate supplies for all production schedules.

  • Uses discretion to resolve urgent supply shortages, which may include approving a higher expenditure for overnight delivery.

  • Oversees the inventory levels of supplies and equipment, ensuring adequate stock and preventing shortages or overstock situation.

  • Plays an instrumental role in controlling and resolving any issues with supplies, including the issue and return of supplies that do not meet specs.

  • Responsible for tracking and ensuring restitution and reimbursements are received.

  • Completes, reviews, and organizes relevant documentation to ensure readiness for audits.

  • Oversees the issue and return of supplies.

  • Implements changes in policy, process, and procedure as directed.

  • Provides meaningful expertise and data-informed suggestions to leadership team for the creation of policy, procedure, and department goals.

  • Ensures work is performed safely and in compliance with all regulations, contractual agreements, and company policies.

  • Monitors & coaches vendor performance, including tracking quality metrics. Identifies cost-saving opportunities.

  • Maintains a clean, organized, and safe working environment, including office, restrooms, breakrooms, and all areas outside of production.

  • Oversees inventory audits, investigations, and reconciliation of discrepancies. Provides coaching and accountability as needed.

  • May be responsible for coordinating equipment availability for maintenance repair and utilization.

Minimum Qualifications (Educations & Experience):

  • Highschool diploma, GED, or equivalent

  • 4+ years of relevant experience or the knowledge, skills, and abilities to succeed in the role

  • 1+ year of leadership experience or the knowledge, skills, and abilities to succeed in the role

Essential Knowledge, Skills, and Abilities:

  • Good leadership skills with the ability to coach, support, and motivate a team

  • Understanding of inventory management processes and practices

  • Working knowledge of relevant technology such as SAP, Excel, Word, etc.

  • Basic math skills

  • Good communication, organization, time-management, problem-solving, and critical thinking skills with the ability to guide multiple priorities simultaneously

  • Adaptability and ability to shift priorities to meet the needs of the business

  • Interpersonal skills with the ability to develop relationships internally and externally

  • May require flexibility to rotate shifts for time off relief

Preferred Knowledge, Skills, and Abilities:

  • College degree

  • Experience in the food industry

  • Experience in Manufacturing process

  • SAP experience

Physical Demands:

  • While performing the duties of this job, the employee may be regularly required to stand, sit, talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, keyboard, and occasionally lift up to 50 pounds.

  • Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision and the ability to adjust focus.

  • Must have the ability to lift and carry small parcels, to walk short distances, and drive a vehicle.

  • Must have the ability to work 40 days consecutively.

Working Conditions & Travel Requirements:

  • Work will be performed in a variety of conditions.

  • Primarily in a climate-controlled office environment(s) and occasionally in a manufacturing plant environment with varying conditions, such as cold areas, wet areas, warm areas, chemicals, and other site conditions.

  • This position requires the individual to wear and work in personal protective equipment while in the manufacturing environment.

  • The noise level of the office environment is usually moderate; the noise level in the manufacturing environment may exceed 85 DBA and require hearing protection.
