Job Position Purpose / Summary

As the Executive Assistant of the VP International Marketing, this position provides executive support and reports to the VP InternationalMarketing. The position plays a vital role, liaising and coordinating across the organization and the different regions.

Job Position Accountabilities / Expectations

1. Provide full administrative support to the VP including but not limited to:

* Handles all scheduling, allocation of time and determining which meetings are essential to attend, with whom and when.

* Screens calls for business significance and priority.

* Review incoming email to determine what needs to be addressed.

* Assists with the prioritization of the executive's daily activities.

* Provides executive summary and proactive pre-read materials for all meetings and contracts.

2. Responsible for budget for use in planning on off-site meetings or conferences. These responsibilities include but are not limited to vendor and special activities selections, coordination with procurement for the negotiating pricing and vendor contracts and on-site management. Attend meetings as appropriate.

3. Organize and submit expenses in a timely and accurate manner

4. Organizes all business travel, including gathering information around Visa and other travel requirements

5. Able to build professional PowerPoint presentations with a minimum of details

6. Respond to requests (phone, e-mail, in-person requests, etc.) by gathering and providing information, referring non-routine calls to appropriate staff. A very high degree of professionalism is required

7. Proactively develop relationships with key internal/external contacts, including a diverse global/international team and myriad of important external stakeholders

8. Effectively manage conflicting priorities. This involves organizing workflow and teaming with colleagues to accomplish tasks and balance workloads

9. Develop and demonstrate a solid working knowledge of the business, business's structure, tools, policies and key stakeholders.

10. Assist a diverse group of internal and external contacts to communicate messages, gather information or handle non-routine situations and follow up with leadership staff on items/issues to ensure leader is aware of status

11. Locate and gather highly confidential and sensitive information from the appropriate source to assist in resolving business issues; this may include support on sensitive employee matters, performance reviews, etc.

12. Support the VP with strategic meetings as identified, Site Training logistics, Peer to Peer Training programmes, events support in the European region and co-ordinate team building activities

13. Perform other related duties and projects as assigned or required.

14. Maintain Qualification on the required training modules

Quality: Supports the organization to ensure an adequate and effective quality management system, supports the quality policy and sustains a quality culture

Key Relationships / Customer Expectations

The interactions cover a broad area of functions and stakeholders across the business and regions. The main interactions are with the International Leadership Team, corporate stakeholders, the (international) marketing team, global marketing teams and the Brussels based staff functions (eg HR, finance and customer service).

External interactions occur at different customer levels. Occasional participation to regional trade shows and customer visits is required.

Required Qualifications:

* Bachelor's Degree in Business/related field or 10+ years of related experience

* Min. 5 years of experience in a commercial or marketing environment is a must.

* Excellent customer service and interpersonal skills; ability to maintain a high degree of professionalism in all circumstances

* Highly organized with strong advance planning skills and excellent attention to detail

* Excellent interpersonal and communication skills, both written and oral

* Ability to identify and solve problems on an immediate basis

* Ability to manage multiple demands and priorities, and negotiate timelines

* Ability to maintain high level of confidentiality

* Administrative skills and advanced knowledge of computer applications (MS-Word, Excel, PowerPoint, Outlook) and advanced knowledge of Share Point and SAP

* Ability to demonstrate a high level of professionalism that will represent the leaders and Avanos well to the external world.

* A flexible mindset that allows the individual to "flow to the work" as required to achieve goals and resolve issues

* Experience in the organization of international meetings, events and employee events are required.

* Languages: fluency in spoken and written English is required. Any other European language is a strong asset

* You are a fast learner and a team player. Support and facilitate knowledge sharing

* You are extremely well-organized, a self-starter able to prioritize and manage multiple activities at any time

* Hands-on in a fast-moving environment and able to work with little supervision

* Possess a positive attitude and an entrepreneurial spirit.
